Receptionist (Arabic Speaking) Jobs in Al `Ayn at REAP

We are seeking a organized and detail-oriented Sales and Administrative Support Specialist, you will play a key part in ensuring smooth operations by managing sales queries, coordinating with customers and couriers, preparing quotations, and maintaining accurate documentation.

You will also be responsible for scheduling tasks, ensuring compliance, and providing exceptional customer service where required.

The ideal candidate will have strong multitasking abilities, excellent communication skills, and advanced proficiency in Microsoft Excel, PowerPoint, and data entry.

Experience in document management is essential for success in this role.

Key Responsibilities:

Customer Service and Sales Support:
Follow up on sales inquiries and provide timely responses to customers.
Ensure customer satisfaction by addressing concerns and resolving issues promptly.
Send catalogs, quotations, and other relevant documents to customers.
Conduct order follow-ups to ensure timely delivery and customer satisfaction.
Data Management and Reporting:
Perform data entry tasks in financial software and maintain accurate records.
Create and update reports in Microsoft Excel to track sales, orders, and customer interactions.
Use Microsoft PowerPoint to prepare presentations for meetings and reports.
Analyze data to identify trends and provide insights to the management team.
Document Management and Compliance:
Organize and maintain both physical and electronic documents using document management systems (DMS).
Verify compliance with company policies and regulatory requirements.
Ensure accurate and up-to-date record-keeping for all transactions and communications.
Quotations and Order Processing:
Prepare and send quotations to customers based on their requirements.
Track and manage orders from initiation to delivery.
Coordinate with internal teams and external couriers to ensure smooth order fulfillment.
Scheduling and Coordination:
Schedule tasks and appointments to meet deadlines and operational needs.
Coordinate with customers, couriers, and delivery teams to ensure timely execution of tasks.
Manage time-bound tasks efficiently to meet organizational goals.
General Administrative Duties:
Assist with day-to-day administrative tasks as needed.
Maintain a professional and organized work environment.
Support team members with ad-hoc tasks and projects.

Qualifications and Skills:

Proven experience in a similar role (sales support, customer service, or administration).
Advanced proficiency in Microsoft Excel (e.g., formulas, pivot tables, charts) and Microsoft PowerPoint (e.g., creating presentations).
Strong data entry skills and experience working with financial software.
Excellent document management skills, including organizing, filing, and maintaining records.
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Ability to multitask and work under pressure in a fast-paced environment.
Attention to detail and a commitment to accuracy.
Knowledge of compliance and regulatory requirements is a plus.

Job Type: Full-time

Pay: AED1,800.00 – AED2,000.00 per month
