We are looking for a highly organized and detail-oriented Technical Clerk to provide administrative and documentation support to our Tendering and Estimation Department. The successful candidate will assist in preparing tender submissions, organizing technical documents, maintaining bid records, and coordinating with internal departments to ensure timely and accurate submission of tenders.

The ideal candidate has previous experience in a contracting company and is familiar with tender documentation, estimation processes, and document control practices.

Key Responsibilities

  • Provide administrative support to the Tendering and Estimation team.
  • Prepare, compile, format, and organize tender and prequalification documents.
  • Maintain accurate records of tenders, quotations, bid submissions, and project files.
  • Coordinate with Estimators, Engineers, Procurement, and other departments to collect required documents for tender submissions.
  • Ensure all tender documents are complete, accurate, and submitted within the required deadlines.
  • Register incoming tender invitations and maintain the tender log.
  • Assist in preparing technical and commercial documentation for bids.
  • Monitor tender submission schedules and follow up on pending requirements.
  • Organize electronic and hard-copy filing systems for all tender-related documents.
  • Update project databases, estimation records, and document registers.
  • Prepare correspondence, reports, and meeting minutes related to tender activities.
  • Maintain confidentiality of all tender information and company documents.
  • Perform other administrative duties assigned by the Tendering Manager or Estimation Manager.

Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Engineering, or a related field.
  • Minimum of 2 years of experience as a Technical Clerk, Document Controller, or Administrative Assistant supporting a Tendering or Estimation Department in a contracting company.
  • Experience working with construction tender documents and bid submissions.
  • Familiarity with construction terminology and estimation workflows is preferred.
  • Proficient in MS Office, particularly Excel, Word and Outlook.
  • Experience using ERP systems or document management systems is an advantage.
  • Excellent organizational, filing, and record-keeping skills.
  • Strong attention to detail and ability to manage multiple deadlines.
  • Good written and verbal communication skills in English.
  • Ability to work independently and as part of a team in a fast-paced environment.
