We are seeking a proactive and detail-oriented Sales Coordinator to support local and export sales operations. The role involves coordinating with internal teams, managing sales records, ensuring timely order processing, and providing administrative support to achieve smooth customer order execution from inquiry to delivery.
JOB RESPONSIBILITES
· Maintain accurate customer records, company profiles, contracts, and other sales-related documentation.
· Maintain and update ERP or company databases with accurate customer, quotation, sales order, and delivery information.
· Coordinate daily sales operations for both local and export customers.
· Process customer inquiries and prepare quotations, sales orders, proforma invoices, and other commercial documents.
· Coordinate with the Production Department to plan production schedules, monitor order progress, and ensure timely completion of customer orders.
· Coordinate with the Accounts Department to obtain sales order approvals, monitor customer credit limits, and resolve payment-related issues.
· Coordinate with Logistics and Shipping teams to arrange deliveries, export documentation, and shipment schedules.
· Follow up on customer orders, shipment schedules, and delivery status while providing timely updates to customers and the Sales team.
· Monitor outstanding quotations and follow up with customers to maximize conversion opportunities.
· Process short close, partial close, or cancellation of sales orders in the ERP system after obtaining the necessary approvals, ensuring accurate documentation and proper record maintenance.
· Provide after-sales support by responding to customer inquiries, resolving order-related issues, and coordinating with relevant departments to ensure customer satisfaction.
· Record customer feedback, lost quotations, and sales activities for reporting and continuous improvement.
· Assist the Sales team in preparing reports, presentations, monthly sales analysis, and other commercial documentation.
· Coordinate customer meetings, customer visits, and manage appointments.
· Assist in planning and coordinating exhibitions, trade shows, customer meetings, and other sales promotional activities.
· Coordinate domestic and international business initiative.
· Support the implementation and effective use of AI and digital technologies to streamline sales coordination processes and enhance productivity.
· Support general sales administration, including maintaining sales files, correspondence, and related documentation.
· Perform other sales coordination duties assigned.
REQUIREMENTS
· Bachelor’s degree in Business Administration, Marketing, Commerce, or a related field.
· 1–3 years of experience as a Sales Coordinator, Sales Administrator, or similar role. (Fresh graduates with strong organizational skills are encouraged to apply.)
· Experience in a manufacturing environment is an advantage.
· Knowledge of local and export sales processes is preferred.
· Proficiency in Microsoft Office applications (Excel, Word, Outlook, and PowerPoint).
· Experience using ERP systems is an advantage.
· Familiarity with AI productivity tools such as ChatGPT, Microsoft Copilot, Google Gemini, or similar AI applications is an advantage.
· Willingness to learn and adopt new digital technologies and AI-based solutions to support business operations
· Excellent communication and interpersonal skills.
· Strong organizational, time management, and multitasking abilities.
· High attention to detail with excellent documentation and record-keeping skills.
· Ability to work independently while collaborating effectively with cross-functional teams.
· Professional, reliable, and customer-oriented approach.
· Willingness to travel occasionally if required.
