Position Overview:
We are seeking a detail-oriented and organized Procurement Support Specialist to assist our Procurement Department with administrative and documentation tasks. This is a back-office role, requiring accuracy, efficiency, and strict adherence to established procurement procedures. The ideal candidate should thrive in a structured, process-driven environment and be comfortable handling repetitive tasks with precision.
Key Responsibilities:
· Create, process, and track work orders in accordance with company policies.
· Prepare, review, and submit procurement-related documents for approvals.
· Maintain accurate records of purchase requests, invoices, and supplier communications.
· Ensure proper document control by organizing, storing, and retrieving procurement records efficiently.
· Maintain accurate and up-to-date procurement records, ensuring compliance with company policies.
· Ensure all records are properly filed and accessible for auditing and reporting purposes.
· Process and verify vendor documentation, contracts, and compliance requirements.
· Request quotations from suppliers and ensure timely responses for procurement officers.
· Follow up on pending purchase requests and order confirmations with vendors as needed.
· Ensure vendor information is correctly maintained in the system.
· Follow internal procurement procedures and ensure all transactions align with company guidelines.
· Assist in preparing reports and documentation for internal audits or management reviews.
· Provide administrative support, including document filing, system updates, and communication with internal teams.
· Liaise with internal departments to ensure smooth procurement processes.
Requirements:
· Attention to Detail: Ability to process paperwork with a high level of accuracy and minimal errors.
· Discipline & Focus: Comfortable handling repetitive tasks in a structured work environment.
· Document Control Experience: Essential – must have experience managing procurement-related documentation and ensuring proper record-keeping.
· Proficiency in Microsoft Excel: Critical – must be able to use Excel for data entry, basic formulas, and record management.
· Organizational Skills: Ability to manage multiple tasks and meet deadlines efficiently.
· Team Player: Work collaboratively with procurement officers and internal teams.
· Experience: Previous experience in procurement administration, document control, or a similar back-office role is required.
