Position Summary

The Project Administrative Assistant is responsible for providing administrative and documentation support to the project team to ensure the efficient execution of project activities. The role involves coordinating documentation, maintaining project records, assisting with scheduling, preparing reports, communicating with clients and subcontractors, and supporting the Project Supervisor and After Sales Manager in achieving project objectives while maintaining compliance with company and client requirements.

Key Responsibilities-Project Administration

  • Provide day-to-day administrative support to the Project Supervisor and Sales team.
  • Maintain and organize all project documentation in both electronic and hard copy formats.
  • Prepare letters, emails, meeting minutes, reports, and project correspondence.
  • Maintain project registers including , NCRs, warranties, and handover documents(O & & M).
  • Ensure project documentation is updated and properly archived.

Documentation Control

  • Receive, record and file incoming and outgoing project documents.
  • Track document revisions and maintain document control logs.
  • Coordinate the submission of technical documents to clients and consultants.
  • Ensure all documentation complies with company document control procedures.

Coordination

  • Coordinate with Clients, Subcontractors, warehouse and site teams regarding project requirements.
  • Follow up on material deliveries, installation schedules, inspections, and handover activities.
  • Updating Project report and Service report.
  • Assist in arranging inspections documents.

Reporting

  • Prepare weekly project progress reports.
  • Update project trackers and status reports.
  • Monitor pending approvals and follow up with relevant stakeholders.

Communication

  • Serve as a point of contact between project teams, clients, consultants, and suppliers.
  • Respond to routine project correspondence professionally and promptly.
  • Coordinate internal communication among departments.

Records Management

  • Keep records of training, warranties, O&M manuals, and handover documentation.
  • Ensure project files remain complete and easily retrievable.

General Administrative Duties

  • Prepare purchase requests and service requests.
  • Assist with invoice tracking and documentation.
  • Organize meetings and prepare meeting agendas.
  • Support project close-out documentation.
  • Perform other administrative duties assigned by management.

Qualifications

  • Diploma or Bachelor’s Degree in Business Administration, Project Management, Engineering, or a related field.
  • Min 1 years of experience in project administration or administrative support.
  • Experience in construction, MEP, kitchen appliances, or engineering projects is an advantage.
