Operations Executive – Freight Forwarding Jobs in Abu Dhabi at Delight International facilities management LLC-OPC
DUTIES & RESPONSIBILITIES
- Coordinate all operational activities related to import/export shipments, encompassing ocean, air, and domestic logistics. Work closely with sales and customer service teams to facilitate seamless shipment execution and service delivery
- Upon receiving pre-alert documents from customer service, initiate job creation in the Next system, prepare the file manually, and verify all received documents to ensure compliance with UAE customs clearance regulations.
- Monitor shipment arrivals with the respective carrier using track and trace, ensuring timely updates to clients and proactive resolution of any issues or delays. Upon arrival, initiate payment requests and coordinate collection of Delivery Orders (DO) from the carrier.
- Collaborate with customers and the transport department to arrange cargo delivery, prepare delivery notes, and ensure collection of signed Proof of Delivery (POD) for documentation.
- Verify the accuracy of all job costs and upload supplier/transporter invoices into the system. Ensure accurate invoicing of all jobs, reviewing cost and profit margins. Send invoices to customers as needed and upload invoice acknowledgments along with other documents into the system.
- Invoice all jobs promptly within 24 hours of shipment delivery. Complete job closure immediately after invoicing, ensuring manual files are organized numerically and dispatched to the archive desk on time.
- Respond to inquiries from both internal and external customers regarding shipments, billing, status, services, carriers, and other requirements. Escalate complex or escalated customer needs as necessary to ensure timely resolution.
- Keep abreast of industry regulations, market trends, and competitors’ activities to provide strategic insights to the sales team. Additionally, assist in compiling and synthesizing operational reports and data, and present findings to colleagues or supervisors as needed.
- Requirements:
- Minimum 2 years of experience in the freight forwarding industry, preferably with Abu Dhabi market experience.
