Operations & Coordination Executive – Freight Forwarding

Job Summary
We are looking for a motivated and detail-oriented Operations & Coordination Executive to join our freight forwarding team in Dubai.
The candidate will be responsible for coordinating daily logistics operations, including sea and air freight shipments, shipment documentation, customs clearance, transport arrangements, shipping line coordination, and customer/supplier communication.
The ideal candidate should have practical knowledge of freight forwarding operations and be able to manage multiple shipments simultaneously while meeting operational deadlines.
Key Responsibilities
- Coordinate end-to-end sea freight and air freight shipments from booking to final delivery.
- Coordinate with shipping lines, airlines, transporters, customs brokers, warehouses, suppliers, and customers.
- Arrange and follow up on FCL/LCL bookings, container collection, loading, gate-in, vessel schedules, and cargo movement.
- Prepare, verify, and follow up on shipping documents including:
- Commercial Invoice
- Packing List
- Certificate of Origin (COO)
- Bill of Lading / Sea Waybill
- Air Waybill
- Delivery Order
- Customs documentation
- Export and transit documents
- Coordinate with shipping lines such as CMA CGM, MSC, Maersk, Hapag-Lloyd, COSCO, and other carriers.
- Monitor vessel schedules, ETD/ETA, cut-offs, rollovers, transshipment, and shipment status.
- Coordinate with transporters for empty container collection, cargo pickup, delivery, and empty container return.
- Follow up with suppliers and warehouses regarding cargo readiness, packing, loading, and collection status.
- Coordinate customs clearance and ensure required documents are available before shipment movement.
- Handle operational activities through Dubai Trade and shipping line portals.
- Follow up on BL drafts, amendments, releases, DOs, BRNs, SSRs, bookings, and shipping instructions.
- Monitor shipment milestones and proactively identify delays or operational issues.
- Communicate shipment updates clearly to customers and internal teams.
- Coordinate with overseas agents and destination partners when required.
- Assist with freight quotations, shipment costing, and operational charges when required.
- Maintain proper shipment records and ensure all documents are filed and updated.
- Follow up on demurrage, detention, storage, trucking, port, and other operational charges.
- Resolve day-to-day operational issues by coordinating with relevant parties.
- Ensure all shipments are handled according to company procedures and customer requirements.
Requirements
- 2–4 years of experience in freight forwarding, shipping, logistics, or a related field.
- Strong practical knowledge of sea freight and freight forwarding operations.
- Knowledge of FCL/LCL, import/export procedures, customs clearance, and shipping documentation.
- Familiarity with UAE logistics operations, particularly Jebel Ali / Dubai Trade.
- Experience dealing with shipping lines and transport companies is preferred.
- Good knowledge of MS Office, especially Excel and Outlook.
- Good English communication skills, both written and verbal.
- Strong follow-up and coordination skills.
- Ability to manage multiple shipments and deadlines simultaneously.
- Strong attention to detail and documentation accuracy.
- Ability to work independently and take ownership of assigned shipments.
- Problem-solving attitude with the ability to handle urgent operational issues.
Preferred Skills
- Experience with CMA CGM, MSC, Maersk, Hapag-Lloyd, COSCO or other major shipping lines.
- Experience using Dubai Trade and shipping line portals.
- Knowledge of UAE customs procedures and documentation.
- Experience coordinating with overseas agents and international suppliers.
- Knowledge of freight forwarding software or ERP systems is an advantage.
- UAE driving license is an advantage.
