The Receptionist & Medical Insurance Coordinator is responsible for providing exceptional front desk services while managing medical insurance processes. The role includes welcoming patients, scheduling appointments, handling patient inquiries, verifying insurance eligibility, obtaining pre-authorizations, submitting insurance claims, and ensuring smooth communication between patients, healthcare providers, and insurance companies.
Key Responsibilities Reception Duties
- Welcome patients and visitors in a professional and friendly manner.
- Register patients and maintain accurate patient records.
- Schedule, confirm, and manage appointments.
- Answer telephone calls, emails, and WhatsApp inquiries promptly.
- Collect payments, issue receipts, and maintain daily cash records.
- Explain clinic services, promotions, and payment options to patients.
- Coordinate patient flow to ensure minimal waiting time.
- Maintain a clean, organized, and professional reception area.
- Handle patient complaints and escalate issues when necessary.
- Protect patient confidentiality at all times.
Medical Insurance Duties
- Verify patients’ insurance eligibility and coverage before appointments.
- Obtain pre-authorizations from insurance companies when required.
- Submit insurance claims accurately and within the required deadlines.
- Follow up on pending, rejected, and unpaid claims.
- Coordinate with insurance companies and TPAs regarding approvals and claim status.
- Resolve claim discrepancies and ensure complete supporting documentation.
- Maintain accurate records of claims, approvals, and payments.
- Inform patients of insurance coverage, exclusions, co-payments, and deductibles.
- Ensure compliance with UAE healthcare regulations, insurance policies, and clinic procedures.
- Prepare insurance reports and monitor outstanding claims.
Qualifications
- Minimum 2 years of experience as a Receptionist and/or Medical Insurance Coordinator in a medical center, hospital, or aesthetic clinic in the UAE.
- Knowledge of UAE medical insurance procedures, insurance portals, and TPAs.
- Familiarity with clinic management systems and electronic medical records (EMR).
- Strong communication and customer service skills.
- Excellent organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Fluent in English; Arabic is an advantage.
