Job Description: We are seeking an experienced and highly motivated Head Receptionist to join our team at Sohum Wellness Center. As the Reception Team Lead, you will manage a team of receptionists, ensuring smooth daily operations, providing exceptional service to clients, and leading by example in delivering outstanding customer care. Additionally, you will be responsible for working closely with our top VIP clients, ensuring their needs are met with the highest level of service and attention.
Key Responsibilities:
· Oversee and manage the reception team, ensuring high levels of client service and professionalism at all times.
· Provide training, guidance, and support to reception staff to ensure they meet performance standards.
· Monitor the reception area, ensuring it remains organized, clean, and welcoming for clients.
· Manage client inquiries, appointments, and ensure the accurate flow of communication between reception and wellness practitioners and yoga teachers.
· Handle complex or escalated client concerns and resolve issues promptly with a professional approach.
· Supervise the scheduling of appointments, ensuring that the calendar is efficiently managed to meet clients demands.
· Ensure accurate data entry, including client information, payments, and appointment records.
· Assist with the development of reception policies, procedures, and workflow improvements.
· Prepare and submit daily or weekly reports on reception team performance, appointment schedules, and client feedback.
· Monitor inventory of reception supplies and make necessary orders to ensure availability.
· Maintain confidentiality of sensitive client information and adhere to wellness center privacy policies.
· Collaborate with other departments to ensure seamless operations and client satisfaction.
· Assist in handling payments, processing refunds, and managing financial transactions as needed.
· Maintain a high level of knowledge about wellness services, products, and promotions to communicate effectively with clients.
Requirements:
Education: High school diploma in Hospitality, Business Management or similar.
Experience: Minimum of 2 years in a supervisory or team lead role in 5* SPA, premium fitness or wellness center is mandatory.
Proven experience in managing and motivating a team, with strong leadership and conflict-resolution skills.
Skills & Abilities:
Strong leadership skills with the ability to motivate, guide, and inspire a team.
Excellent communication skills, both verbal and written.
Exceptional organizational skills, with the ability to manage multiple tasks and priorities.
An ability to handle complex client issues, resolve complaints effectively, and maintain a positive client experience.
High level of proficiency with office software (MS Office, scheduling software, etc.) and office equipment.
Ability to work efficiently in a fast-paced environment and manage high client volume.
A strong understanding of wellness services, health treatments, and client care.
Ability to maintain confidentiality and handle sensitive client information responsibly.
Flexible and adaptable to changing schedules and business needs.
Additional Requirements:
Flexibility to work weekends or evenings, if required.
Ability to handle sensitive and confidential information with discretion.
