Purpose:

This position is responsible for developing, implementing, and managing the organization’s content management systems, ensuring secure, accessible, and compliant digital content management, and driving digital transformation through ECM technologies and best practices.

Job Summary:

The incumbent is responsible for leading the guidelines, Standard Operating Procedures (SOPs), and plans for improvements in the development, deployment, and maintenance of the organization’s content management systems within the limits of established practices, policies, departmental objectives, and supervisor guidelines.

Main Responsibilities & Tasks:

Collaborate with cross-functional teams to gather requirements and design solutions.

Ensure efficient management of digital content.

Configure and optimize ECM platforms, manage content workflows, and ensure data integrity and security.

Train and support users, perform regular system audits.

Stay updated on the latest ECM trends and technologies.

Lead innovative ECM solutions to enhance information management capabilities.

Develop and deploy document management systems.

Implement records management tools and maintain collaboration tools.

Collect business requirements and analyze workflows.

Implement strategies for content management and information sharing.

Customize ECM applications to client needs, ensuring security and accessibility.

Validate ECM compliance with industry standards and regulations.

Create system architecture documents and develop data models.

Write user guides and training materials for ECM.

Diagnose performance and functionality issues, resolve user experience problems.

Conduct training sessions and assist users in adopting ECM solutions and best practices.

Assess system effectiveness, recommend, and implement improvements.

Research emerging ECM technologies and integrate new solutions and best practices.

Monitor performance, gather relevant data, and produce statistical reports.

Perform any additional duties as assigned by the line manager to meet operational requirements.

Ensure the highest standards are followed to safeguard sensitive and confidential data.

Minimum

Required Qualifications

Skills:

Bachelor’s degree in Computer Science, Information Systems, Business Administration (IT), or related field.

At least 5 years of experience with enterprise content management systems such as Microsoft SharePoint, Open Text, Documentum, or Alfresco.

Certifications in ECM, such as AIIM’s Certified Information Professional (CIP), Microsoft’s SharePoint certifications, or equivalent.
