As a Business Support Executive, you will play a critical role in ensuring the smooth and efficient functioning of the Vice President – Operations’ office. This multifaceted role includes administrative, operational, and project support responsibilities, with tasks ranging from travel coordination and onboarding of General Managers to preparing reports and minutes, liaising with internal and external stakeholders, and managing various operational activities.

to anticipate needs, maintain confidentiality, and deliver exceptional support will be vital to the success of the regional operations team.
Key Job Responsibilities
:
Manage and maintain the Vice President – Operations’ calendar, scheduling and prioritizing meetings, appointments, and calls to optimize time management. Coordinate and arrange domestic and international travel, including flight bookings, accommodation, visas, and itineraries, ensuring compliance with company policies. Draft, review, and send professional correspondence, emails, and other communications on behalf of the Vice President. Develop and coordinate detailed onboarding and induction plans for new General Managers, collaborating with HR and other departments to ensure a smooth transition.
Prepare agendas, briefing materials, and presentations for meetings, ensuring accuracy and relevance. Attend meetings, take detailed minutes, and follow up on assigned action items. Liaise with internal departments and external stakeholders to ensure seamless
communication
and timely resolution of issues. Compile, analyze, and prepare operational reports, presentations, and other documents as required by the Vice President. Organize and manage departmental files and records, both digital and physical, ensuring they are accessible and up to date.
Handle confidential and sensitive information with the utmost discretion and
professionalism
. Track and process departmental expenses, invoices, and budgets, ensuring accuracy and compliance with financial policies. Act as the primary point of contact for internal and external inquiries, resolving or escalating issues where necessary. Coordinate logistics for meetings, events, and regional operations activities, including booking venues, managing attendees, and preparing materials.
Monitor deadlines and progress on projects, ensuring timely updates and follow-ups with relevant teams and stakeholders. Conduct research, analyze data, and prepare summaries or recommendations to assist in decision-making. Assist in the coordination and implementation of special projects and initiatives, as directed by the Vice President. Support the Vice President in managing relationships with property-level teams, vendors, and other external partners.
Manage logistics for new property openings, including liaising with various departments to ensure smooth coordination of activities. Facilitate training sessions or workshops as needed, ensuring all logistical aspects are covered. Ensure onboarding kits, access cards, and other resources for new joiners are prepared and ready in coordination with HR and IT. Provide support for policy updates, procedural documentation, and the distribution of internal communications.
Anticipate the needs of the Vice President and proactively manage tasks to minimize disruptions.
