Job Overview:
The Operations Manager is responsible for overseeing and managing the daily operations of inbound travel services for clients visiting the region. This includes coordinating logistics, ensuring smooth execution of tours, and maintaining strong relationships with service providers. The ideal candidate will have a deep understanding of the travel and tourism industry, exceptional organizational skills, and a proven track record in managing inbound operations.
Key Responsibilities:
Inbound Operations Management:
Oversee the day-to-day management of inbound travel services, ensuring all tours, transfers, accommodations, and activities are executed efficiently.
Coordinate with local suppliers, including hotels, transportation providers, tour guides, and activity operators, to ensure high-quality service delivery.
Manage the scheduling and allocation of resources (drivers, guides, vehicles) to ensure smooth and timely operations.
Handle the logistics for large groups, ensuring all aspects of the trip run seamlessly, from airport transfers to excursions.
Client and Stakeholder Communication:
Serve as the primary point of contact for inbound clients and key stakeholders, ensuring clear and effective communication throughout the booking and operational process.
Work closely with sales and marketing teams to ensure that all inbound travel packages are marketed and delivered to meet client expectations.
Handle special requests, complaints, and feedback, ensuring customer satisfaction and making necessary adjustments to services as needed.
Quality Control & Service Excellence:
Monitor the quality of services provided by local suppliers to ensure they meet company standards and client expectations.
Conduct regular inspections and evaluations of services such as accommodations, transportation, and tours.
Maintain relationships with key service providers, ensuring adherence to agreements and contracts.
Team Leadership & Training:
Lead, manage, and train the operations team to ensure they are knowledgeable and effective in executing the inbound travel program.
Provide support to team members in problem-solving and troubleshooting issues related to the execution of tours or services.
Foster a collaborative and productive work environment within the operations team.
Budgeting & Financial Management:
Assist in the budgeting process for inbound operations, ensuring that costs are managed effectively while maintaining a high standard of service.
Oversee invoicing, payments, and cost reconciliation with suppliers and service providers.
Identify opportunities for cost reduction or process improvement without compromising quality.
Compliance & Risk Management:
Ensure all activities and services comply with local laws, regulations, and safety standards.
Address any potential safety issues or risks and work proactively to minimize operational disruptions.
Manage crisis situations or emergencies effectively, providing leadership and guidance to both clients and staff.
Reporting & Performance Metrics:
Monitor key performance indicators (KPIs) related to inbound operations, such as customer satisfaction, operational efficiency, and supplier performance.
Provide regular reports on operations performance, identifying trends, issues, and opportunities for improvement.
Work with senior management to strategize improvements or new initiatives in inbound travel operations.
Qualifications:
Education:
Bachelor’s degree in Tourism, Hospitality, Business Administration, or a related field.
Certification in Travel and Tourism (e.g., IATA) is a plus.
Experience:
At least 5 years of experience in the travel and tourism industry, with a focus on inbound operations or tour operations management.
Proven experience managing teams, supplier relationships, and operational processes in a dynamic environment.
Strong knowledge of regional destinations, travel logistics, and local culture.
Skills:
Strong leadership and team management skills.
Excellent communication and interpersonal skills, with the ability to work effectively with clients, stakeholders, and team members.
Problem-solving abilities, especially in high-pressure situations.
Strong organizational and time-management skills, with the ability to prioritize and handle multiple tasks simultaneously.
Technical Skills:
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Familiarity with booking and CRM software used in the travel industry (e.g., Tour Operator Software, GDS systems).
Job Type: Full-time
Pay: AED4,000.00 – AED5,000.00 per month
