Job Summary:
The Service Advisor – Administration is responsible for coordinating and managing front desk operations, service administration, warranty claims, job card management, invoicing, and purchase request processing within a heavy equipment workshop. The role requires strong organizational skills, attention to detail, and effective communication with clients, technicians, and internal teams to ensure seamless workshop operations.
Key Responsibilities:1. Front Desk & Administration:
Act as the first point of contact for clients, technicians, and internal teams.
Handle incoming calls, emails, and walk-in inquiries professionally.
Maintain organized documentation, service records, and reports.
Ensure smooth communication and coordination between departments.
2. Warranty & Service Administration:
Receive, log, and prioritize service requests from clients, ensuring timely assignment to service teams.
Monitor service progress and ensure adherence to service-level agreements (SLAs).
Serve as the main point of contact for client inquiries, providing timely and courteous responses.
Keep clients informed about service request status and proactively address concerns.
Generate service reports and documentation for analysis and compliance purposes.
Identify areas for process improvement and contribute to workflow enhancements.
3. Service Coordination & Job Card Management:
Open, maintain, and close job cards in the system accurately.
Ensure proper allocation of labor hours, spare parts, and materials in job cards.
Coordinate with the workshop team to monitor service progress and completion timelines.
Verify job completion and ensure necessary documentation is signed off by clients.
4. Invoicing & Purchase Requests:
Generate invoices for service jobs and warranty claims.
Process purchase requests for spare parts, tools, and consumables required in the workshop.
Coordinate with the procurement team to ensure timely availability of spare parts and materials.
Track pending approvals and follow up on purchase requests and supplier deliveries.
5. Reporting & Documentation:
Prepare daily, weekly, and monthly reports on service jobs, warranty claims, and invoicing.
Maintain accurate records in the system for easy retrieval and audit compliance.
Assist in preparing service agreements, contracts, and customer correspondences.
Qualifications & Skills:
Bachelor’s degree or diploma in Business Administration, Mechanical Engineering, or a related field.
Minimum 5 years of experience in service administration, preferably in a heavy equipment workshop.
Strong knowledge of service job card management, invoicing, and procurement processes.
Excellent communication and customer service skills.
Proficiency in ERP systems, MS Office (Excel, Word, Outlook), and service management software.
Ability to multitask, prioritize workload, and work under pressure.
Strong attention to detail and organizational skills.
Work Environment:
Office and workshop environment with frequent interactions with clients, technicians, and suppliers.
Occasional visits to the workshop floor may be required.
