Admin Assistant Jobs in Al Quoz at District Cooling International LLC
Key Responsibilities:
- Booking of all jobs in our system related to Spare Parts sales
- Provide administrative support to the Service & Spare Parts Department.
- Coordinate with customers and internal departments regarding spare parts availability and delivery schedules.
- Coordinate with the warehouse for spare parts issuance, stock movement, and documentation.
- Prepare and issue delivery notes and invoices from our system
- Collecting payment from the customer
- Maintain accurate records of DN, Tax Invoice, etc and customer correspondence.
- Prepare daily, weekly, and monthly reports on service activities and spare parts transactions.
- Process and maintain filing of delivery notes, purchase orders, invoices, and other departmental documents.
- Coordinate with the Accounts Department regarding customer invoicing and payment follow-ups when required
- Respond to customer inquiries professionally via email and telephone.
- Ensure all documentation complies with company procedures and quality standards.
- Perform any other administrative duties assigned by the Department Manager.
Qualifications & Requirements:
- Diploma or Bachelor’s degree.
- 1–2 years of experience in a administrative role.
- Proficient in MS Office (Excel, Word, Outlook, PowerPoint); knowledge of PDF editing/conversion tools is an advantage.
- Strong communication, interpersonal, and organizational skills.
- Attention to detail and ability to handle confidential information.
- Professional demeanor and customer-service-oriented attitude.
- Ability to multitask and prioritize in a fast-paced environment.
Pay: AED3,000.00 – AED3,200.00 per month
