Job Overview
The Office Coordinator will be responsible for providing administrative support to the day-to-day operations of the office, assisting in managing client relationships, and ensuring smooth coordination across all real estate functions. This position requires excellent organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.
Key Responsibilities
General Administration
Answering and directing phone calls, emails, and inquiries from clients, vendors, and team members.
Managing and maintaining office supplies, equipment, and files.
Scheduling and coordinating meetings, property showings, and appointments.
Handling day-to-day administrative tasks such as filing, scanning, and organizing documents.
Document Management
Drafting, reviewing, and processing contracts, agreements, and other real estate documents.
Ensuring proper documentation of real estate transactions and maintaining accurate records.
Assisting with property listings, marketing materials, and property brochures.
Client Relations
Acting as a point of contact for clients and providing excellent customer service.
Coordinating property tours and facilitating communication between clients and agents.
Assisting with inquiries related to property details, pricing, and availability.
Office Coordination
Supporting the real estate team with daily tasks, ensuring smooth office operations.
Organizing and maintaining client databases and scheduling software.
Handling mail, packages, and courier services.
Office maintenance, including cleaning the office as needed and ensuring timely office repairs and fixes.
Managing relationships with suppliers for office items and pantry stock to ensure the office is well-supplied and operational.
Team Support
Assisting the property management and sales teams with administrative needs.
Preparing and processing invoices, expense reports, and other financial documentation as required.
Qualifications & Skills
Proven experience in an administrative or office management role, preferably in real estate or a related industry.
Strong organizational skills with the ability to multitask effectively.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and real estate software/tools.
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
Knowledge of the real estate industry and property management practices is a plus.
Strong attention to detail and excellent time management skills.
Preferred Qualifications
Previous experience in real estate, property management, or a luxury services environment is highly desirable.
