The Third-Party Contracts Manager is responsible for managing the organization’s third-party contracts and relationships to ensure optimal performance, compliance, and alignment with business objectives. This role requires expertise in vendor management, contract negotiation, performance monitoring, and risk assessment, ensuring that third-party services meet the organization’s operational and strategic goals. The successful candidate will have experience with Hard and soft FM services, preferably in the medical field, and successfully managing multiple contracts.
Key Responsibilities
Third-Party Vendor Management:
Develop and maintain strong relationships with third-party vendors and service providers (including but not limited to Facilities Management, Valet, Security, Housekeeping, Clinical Partners, Service Delivery Providers/Partners).
Act as the primary point of contact for all third-party operations and contract-related matters.
Coordinate regular performance reviews with vendors to assess service quality and adherence to SLAs (Service Level Agreements).
Contract Oversight:
Together with Procurement, review, negotiate, and manage third-party contracts, ensuring business requirements are met.
Together with Procurement, ensure a central repository of all third-party contracts is managed, with key dates tracked such as renewals and expirations.
Performance Monitoring:
Establish and monitor key performance indicators (KPIs) to evaluate the effectiveness of third-party services.
Identify areas for improvement in third-party operations and work with vendors to implement changes.
Address and resolve performance issues in a timely manner.
Conduct regular risk assessments of third-party relationships, identifying potential vulnerabilities and mitigation strategies.
Collaborate with internal stakeholders to address compliance, data security, and operational risks associated with third-party services.
Cost Optimization:
Monitor and control costs related to third-party contracts, identifying opportunities for cost savings.
Negotiate contract terms to achieve cost efficiencies without compromising service quality.

Collaboration:
Work closely with internal teams, including operations, procurement, legal, finance, and IT, to ensure alignment of third-party services with business needs.
Collaborate across departments to align and manage contracts effectively, ensuring seamless integration and operational efficiency.
Provide regular updates and reports on third-party performance and contractual matters to senior leadership.
Stay updated on industry trends and best practices in third-party management.
Develop and implement processes to streamline third-party operations and enhance efficiency.

Qualifications and Experience
Academic
Qualification:
Bachelor’s degree in business administration, engineering, facilities management or similar.
Experience:
Minimum 7 years’ experience in facility management, preferably in the medical sector and with a minimum of 3 years in a supervisory role.
Project management certification would be an advantage.
