Role Overview 

Rufescent (Sister Company) is looking for a professional, technically strong, and hands-on Technology Systems & Operations Engineer to support, coordinate, and maintain the technology systems environment across the property and business operations. 

This role will report directly to the Head of Technology and will work closely with internal network, device/electronics, software, operations, facilities, and vendor teams to ensure all technology systems are properly maintained, documented, monitored, supported, and operational. 

This is not a basic IT support role. The candidate must have strong understanding of IT infrastructure, network-connected systems, operational technology, access systems, devices, vendor-managed platforms, and system support processes. The role requires someone presentable, responsible, structured, and technically capable of understanding the real status of systems, coordinating the right people, enforcing proper processes, and ensuring issues are followed through until closure. 

Coding, API, database, and software troubleshooting knowledge will be considered an advantage, but the primary focus of the role is technology systems coordination, operational control, vendor follow-up, documentation, policy adherence, and system readiness. 

Role Purpose 

The purpose of this role is to provide Rufescent with a reliable technical point of coordination across all operational technology systems. 

The candidate will be responsible for ensuring that systems are not only installed, but also properly understood, maintained, documented, tested, supported, and improved over time. The role requires ownership, technical awareness, structured follow-up, and the ability to coordinate between internal teams and external vendors. 

The candidate should be able to identify whether an issue is related to software, network, device, configuration, vendor system, access control, user permission, or operational process, and then drive the correct resolution path. 

Key Responsibilities 

1. Technology Systems Operations 

  • Support and coordinate the daily operation of all technology systems used across Rufescent. 
  • Ensure systems are properly configured, maintained, monitored, and supported. 
  • Maintain clear visibility on system status, open issues, dependencies, risks, and pending actions. 
  • Understand the purpose, ownership, connectivity, dependencies, and operational flow of each system. 
  • Ensure that issues are tracked, followed up, resolved, validated, and properly documented. 
  • Act as the main technical coordination point for systems-related matters under the direction of the Head of Technology. 

2. Infrastructure, Network & Connectivity Coordination 

  • Work closely with the network team on ICT network, Wi-Fi, switches, routers, firewalls, IP addressing, VLANs, DNS, ports, and connectivity-related matters. 
  • Ensure that network-dependent systems remain stable, connected, and properly documented. 
  • Support investigation of connectivity issues across devices, systems, vendor platforms, and operational areas. 
  • Help identify whether issues are caused by network, system configuration, device failure, vendor platform, software, or user process. 
  • Maintain documentation of system connectivity, network dependencies, device IPs, support contacts, and escalation paths. 

3. Operational Technology & Property Systems 

  • Coordinate and supervise technology systems across areas such as CCTV, IPTV, IP telephony, GRMS, PA/BGM systems, DJ console connectivity, AV systems, access control, curtain motors, BMS, PMS, conference systems, LED screens, digital signage, and other connected operational systems. 
  • Ensure each system has a clear support owner, vendor contact, maintenance process, and escalation route. 
  • Track system health, open issues, service visits, pending vendor actions, and operational risks. 
  • Coordinate preventive maintenance, testing, inspection schedules, and vendor support visits. 
  • Ensure critical systems are checked and ready before events, launches, member-facing usage, and major operational activities. 

4. Access Control, Devices & Security Systems 

  • Support the operational readiness of access control, smart locks, card-based access, QR/barcode access, identity-based access, and related technology flows. 
  • Coordinate with vendors and internal teams to troubleshoot access failures, permission issues, device issues, and system synchronization problems. 
  • Ensure tablets, scanners, printers, displays, controllers, staff devices, and other operational hardware are properly maintained and documented. 
  • Work with the device/electronics team on device setup, replacement, troubleshooting, testing, and readiness. 
  • Support device control, mobile device management, app availability, restrictions, permissions, and device policy enforcement where applicable. 

5. Vendor Management & Follow-up 

  • Act as a technical coordination point for external vendors, service providers, and implementation partners. 
  • Communicate technical issues clearly, professionally, and with proper evidence. 
  • Track vendor commitments, service calls, pending actions, timelines, and closure status. 
  • Validate vendor fixes before confirming issue closure. 
  • Challenge unclear vendor responses by requesting logs, root-cause explanations, test evidence, screenshots, reports, or configuration confirmation where required. 
  • Maintain vendor documentation, support contacts, contracts, system references, escalation details, and maintenance records. 
  • Ensure vendors follow proper procedures when accessing, modifying, or maintaining systems. 

6. Policies, SOPs & Governance 

  • Support the creation, maintenance, and enforcement of technology-related policies, SOPs, checklists, and operating procedures. 
  • Ensure proper processes are followed for system access, user creation, permissions, device issuance, vendor access, change requests, issue reporting, and escalation. 
  • Maintain asset registers, system documentation, support matrices, configuration records, and maintenance schedules. 
  • Identify gaps in documentation, process, ownership, access control, support structure, or system governance. 
  • Ensure technology knowledge is properly documented and not dependent only on verbal communication or individual vendor memory. 

7. Incident, Issue & Change Management 

  • Maintain a structured issue tracker for technology-related matters. 
  • Categorize issues by system, priority, business impact, owner, vendor, status, and expected resolution. 
  • Follow up until closure and provide clear status updates to the Head of Technology. 
  • Document root causes, temporary workarounds, permanent fixes, and repeated issues. 
  • Coordinate planned changes, system updates, vendor activities, maintenance windows, and testing schedules. 
  • Ensure changes are tested, documented, and communicated before operational rollout. 

8. Software & Integration Coordination 

  • Understand how internal software, operational systems, dashboards, devices, and vendor platforms connect with each other. 
  • Coordinate with the software team on integration-related issues, application errors, system mismatches, and operational bugs. 
  • Support testing of APIs, dashboards, access flows, system workflows, and software-to-device interactions. 
  • Review logs, screenshots, system reports, and user feedback to help identify where issues are coming from. 
  • Ensure software-related issues are clearly explained, replicated, documented, escalated, and validated after resolution. 

9. Reporting & Communication 

  • Provide regular updates to the Head of Technology on open issues, system risks, vendor follow-ups, pending actions, and operational readiness. 
  • Prepare clear reports, trackers, and summaries for management review. 
  • Communicate professionally with internal teams, operations staff, vendors, and management. 
  • Ensure all technical communication is clear, structured, and action-oriented. 
  • Escalate risks early and ensure no critical issue remains unmanaged. 

Required Skills & Experience 

  • Strong experience in technology systems, IT operations, infrastructure support, or integrated property systems. 
  • Good understanding of ICT networks, Wi-Fi, IP-based systems, access control, CCTV, AV, telephony, signage, and connected operational systems. 
  • Ability to understand system architecture, dependencies, failure points, support ownership, and vendor responsibilities. 
  • Strong vendor coordination, follow-up, and issue-management skills. 
  • Strong documentation, reporting, and process-management discipline. 
  • Ability to manage multiple systems, vendors, and issues at the same time. 
  • Ability to troubleshoot logically across system, network, device, vendor, software, and user layers. 
  • Good understanding of system access, user permissions, operational controls, and basic security practices. 
  • Professional communication skills and the ability to represent the technology function confidently. 
  • Ability to work with internal technical teams, operations teams, management, facilities teams, and external vendors. 

Good to Have 

  • Experience with APIs, databases, logs, scripts, backend systems, or software troubleshooting. 
  • Experience with cloud systems, servers, hosting, or deployment environments. 
  • Experience in hospitality, luxury venues, smart buildings, system integration, ELV systems, or property technology. 
  • Experience with IT service management, helpdesk tools, asset management tools, or ticketing systems. 
  • Certifications such as CCNA, ITIL, Microsoft, cybersecurity, networking, or other relevant technical certifications. 

Preferred Qualifications 

  • Bachelor's degree or diploma in Information Technology, Computer Science, Engineering, Electronics, Networking, or a related field. 
  • Prior experience in hospitality, smart buildings, luxury property operations, technology operations, systems integration, enterprise IT, or operational technology environments. 
  • Experience managing vendors, service providers, infrastructure systems, access systems, devices, and operational technology.
