Position Summary: The Purchasing Supervisor in a hotel is responsible for overseeing and managing the acquisition of goods and services needed for hotel operations. This includes food and beverage, cleaning supplies, guest amenities, and other operational materials. The supervisor ensures the purchasing process runs smoothly, stays within budget, and maintains high-quality standards for hotel operations.

Key Responsibilities:

Procurement Management:
Supervise the procurement of all goods and services required by the hotel, including food, beverages, cleaning products, linens, and equipment.
Negotiate with suppliers to secure favorable pricing and terms.
Maintain accurate records of all purchases, receipts, and inventories.
Inventory Control:
Monitor inventory levels to ensure that stock is replenished in a timely manner, avoiding shortages or overstock.
Conduct regular stock audits and reconcile discrepancies between physical inventory and recorded quantities.
Vendor Relations:
Establish and maintain relationships with suppliers, ensuring reliability and quality standards.
Evaluate suppliers based on product quality, pricing, delivery schedules, and customer service.
Resolve any issues with vendors promptly and professionally.
Budget and Cost Management:
Track expenditures and ensure purchasing activities align with the hotel’s budget.
Implement cost-saving initiatives without compromising quality.
Prepare reports on purchasing activities, including expenditures, cost trends, and inventory levels.
Compliance and Quality Assurance:
Ensure all purchased goods and services comply with hotel standards, regulations, and health & safety guidelines.
Regularly evaluate product quality to ensure guest satisfaction.
Team Leadership:
Supervise and train purchasing staff, ensuring efficient and effective execution of responsibilities.
Foster a collaborative and professional working environment within the purchasing department.
Collaboration with Hotel Departments:
Work closely with hotel departments such as Food & Beverage, Housekeeping, Maintenance, and Front Desk to anticipate and fulfill their purchasing needs.
Provide purchasing support for hotel events, conferences, and special activities.

Qualifications:

Bachelor’s degree in Business Administration, Hospitality Management, or a related field.
Minimum of 3-5 years of experience in a purchasing or procurement role, preferably in a hotel or hospitality setting.
Strong negotiation and communication skills.
Proficient in using purchasing software and MS Office Suite.
Knowledge of inventory management, vendor relations, and cost control practices.
Attention to detail and excellent organizational skills.
Ability to work under pressure and meet deadlines.

Physical Requirements:

Ability to lift and carry moderate weight (up to 25 lbs).
Ability to work in a fast-paced environment and maintain high levels of accuracy.
