The Admin Receptionist in a Secondary Real Estate company plays a crucial role in managing front desk operations while providing administrative support to the team. This position requires excellent communication skills, organizational abilities, and a customer-focused approach to ensure smooth day-to-day operations.
Key Responsibilities:
Reception & Front Desk Management:
Greet and welcome clients, visitors, and staff professionally.
Answer and direct phone calls, emails, and messages promptly.
Manage appointment scheduling and coordinate meeting rooms.
Ensure the reception area is clean, organized, and well-presented.
Administrative Support:
Maintain office records, filing systems, and databases.
Handle incoming and outgoing correspondence, including courier services.
Prepare reports, presentations, and documents as required.
Assist with the onboarding of new employees by preparing paperwork and office supplies.
Manage office supplies inventory and coordinate procurement when needed.
Real Estate Support:
Assist agents with listing updates, documentation, and property-related paperwork.
Coordinate with property consultants, clients, and landlords for property viewings.
Maintain and update CRM systems with client and property details.
Prepare tenancy contracts, agreements, and necessary forms as per company policies.
Client Relations & Customer Service:
Address client inquiries professionally and direct them to the appropriate department.
Provide clients with general real estate information and guidance.
Assist with follow-ups on leads, inquiries, and scheduled appointments.
General Office Management:
Coordinate office maintenance, repairs, and service requests.
Support HR and accounts teams with documentation and administrative tasks.
Ensure compliance with company policies and real estate regulations.
Requirements:
Education: Bachelor’s degree or relevant diploma preferred.
Experience: Minimum 1-3 years in an administrative or receptionist role, preferably in real estate.
Skills:
Strong verbal and written communication skills.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Excellent organizational and multitasking abilities.
Professional attitude and strong customer service skills.
Preferred Qualifications:
Previous experience in Dubai’s secondary real estate market.
Knowledge of RERA regulations and real estate documentation.
Fluency in English (Arabic or other languages is a plus).
