About Us:

We are a dynamic events and exhibitions company specializing in producing and executing high-impact events. Our team is dedicated to delivering seamless experiences for exhibitors, sponsors, and attendees. We are looking for a highly organized and proactive Exhibitions Operations Co-ordinator to oversee event logistics and ensure successful event execution.

Key Responsibilities:

Exhibition Planning and Coordination:

-Collaborate with exhibition curators, organizers, and stakeholders to understand requirements and objectives.
-Develop comprehensive operational plans, including timelines, budgets, and resource allocation.
-Coordinate logistics such as venue selection, space planning, transportation, and installation schedules.
-Ensure compliance with health and safety regulations and accessibility standards.
Send welcome emails to clients confirming participation and introduce the team.
-Collect presentations and necessary data from all speakers and arrange them according to the agenda.
-Collate data for all event attendees as it is received.

Vendor and Supplier Management:

-Identify, evaluate, and engage vendors for services like construction, AV equipment, lighting, and transportation.
-Negotiate contracts, review proposals, and ensure cost-effective, high-quality services.
-Coordinate with vendors for timely delivery, installation, and maintenance of equipment and materials.

Client & Exhibitor Liaison:

-Serve as the primary contact for exhibitors, coordinating stand designs and branding requirements.
-Process exhibitor requests for additional services and materials.
-Provide excellent customer service, ensuring client satisfaction throughout the event lifecycle.

Inventory and Asset Management:

-Maintain accurate inventory of exhibition assets, including artwork, displays, signage, and technology.
-Coordinate shipping, storage, and insurance of assets, ensuring their safe handling and protection.
-Conduct regular audits to track asset condition and plan for maintenance or replacements.

Budgeting and Financial Management:

-Develop and manage exhibition budgets, tracking expenses and adhering to financial guidelines.
-Provide cost estimates, forecasts, and financial reports for informed decision-making.
-Identify cost-saving opportunities and optimize resource allocation.

On-Site Event Execution:

-Oversee setup and dismantling of stands, branding, and infrastructure.
-Manage registration and ensure a seamless check-in experience for attendees.
-Handle on-site troubleshooting and ensure smooth operations.

Visitor Experience and Support:

-Collaborate with marketing initiatives to enhance visitor experiences.
-Address visitor inquiries and resolve issues promptly and professionally.
-Implement crowd management strategies for efficient queue handling.

*

Post-Event Management:

-Gather feedback from exhibitors, sponsors, and attendees.
-Prepare post-show reports with recommendations for improvements.
-Ensure timely invoicing and reconciliation of operational expenses.

Desired Skills & Experience:

-Based in UAE with knowledge of the UAE market.
-1-2 years of proven experience in exhibition operations or a relevant role.
-3+ years in event management or hospitality.
-Bachelor’s degree from an accredited university.
-Expertise in quality management and process optimization.
-Proven experience managing technical teams and coordinating across departments.
-Strong leadership skills with a track record of successful team building and development.
-Excellent communication and interpersonal skills for strong stakeholder relationships.
-Competency in procurement and supply/vendor management.
-Ability to work effectively in a fast-paced environment.
-UAE Driving License (preferable).
