Proposal and Estimation including specs review, Deviation List Preparation, Technical Query, Tender submission, Panel drawing design
1. Proposal Preparation:
Draft Proposals: Write detailed and clear proposals for potential clients that outline the scope, deliverables, if any deviation. timeline, and cost structure.
Collaborate with Stakeholders: Work closely with sales, technical teams to gather information and ensure the proposal is comprehensive.
Client Requirement Analysis: Assess client needs and align proposal content to meet their expectations.
Tailor Proposals: Customize proposals based on client specifications, industry standards, and competition to create compelling, winning bids.
Presentation of Proposals: Assist in preparing presentations to clients, explaining the proposal’s details, and answering any questions related to the offering.
2. Cost Estimation and Budgeting:
Develop Cost Estimates: Prepare accurate cost estimates for projects by standard labor rate, based on material quote, and overhead costs. This may involve using Proposal Works, IAB software or manual calculations.
Risk Analysis: Identify potential risks or uncertainties that could affect the cost and timeline of the project, and include contingencies in estimates.
Pricing Strategies: Define pricing strategies that are competitive yet profitable, considering market trends, material costs, and project complexity.
Review Specifications: Study and interpret project specifications and drawings to ensure cost estimates align with actual project requirements.
3. Data Analysis & Research:
Market Research: Stay updated with industry standards, competitor pricing, and new technologies to ensure proposals are competitive and up-to-date.
Cost Database Management: Maintain and update a database of historical costs, materials, and vendor quotes for future reference (maximum 12-month-old)
4. Coordination and Communication:
Internal Collaboration: Work with internal teams with sales, and technical team to ensure the proposal and estimates are feasible and align with business objectives. The commercial bid should be reviewed and approved by the senior team before submission.
Client Interaction: Maintain communication with clients throughout the proposal process, responding to inquiries and adjusting the proposal as needed based on feedback.
Vendor and Subcontractor Coordination: Obtain quotes and specifications from external suppliers, subcontractors, and other third parties involved in the project to complete the proposal and cost estimate.
5. Documentation and Reporting:
Maintain Records: Ensure that all proposals, estimates, and contracts are properly documented and archived for future reference.
Report Proposal Status: Regularly report the status of proposals and estimates to senior management.
Post-Submission Follow-up: Track the status of submitted proposals and follow up with clients, updating the team on the outcome of negotiations or decisions.
6. Contract Review and Negotiation:
Contract Analysis: Review client contracts to ensure that the terms align with the proposed estimate and budget.
Negotiation Support: Provide support during contract negotiations, adjusting estimates as needed to meet both company and client needs.
7. Continuous Improvement
Process Improvement: Identify opportunities to streamline the proposal and estimation process to increase efficiency and accuracy.
Training and Development: Stay current on industry best practices, up to update with Rockwell Product and Software, updating estimating tools, and proposal writing techniques.
