To act as the primary point of contact between customers and the Service Department, ensuring a smooth and professional vehicle service experience. The Service Advisor is responsible for understanding customer concerns, preparing repair orders, coordinating with technicians, providing regular updates, and ensuring timely vehicle delivery while achieving customer satisfaction and service targets.
Key Responsibilities
- Welcome customers and provide professional and courteous service at all times.
- Understand and accurately document customer vehicle concerns and service requirements.
- Conduct vehicle reception and prepare detailed repair orders/job cards.
- Explain recommended services, repairs, maintenance requirements, and estimated costs to customers.
- Coordinate with technicians and workshop teams to diagnose and resolve vehicle concerns.
- Provide accurate estimates for parts, labour, and additional repairs.
- Obtain customer approval before carrying out additional or non-authorized repairs.
- Keep customers regularly informed about repair progress, delays, additional work, and expected completion times.
- Monitor repair orders to ensure work is completed within the promised delivery time.
- Conduct vehicle inspection/checks before delivery and ensure all requested work has been completed.
- Explain completed repairs, replaced parts, maintenance work, and charges to customers during vehicle handover.
- Prepare and explain invoices and ensure proper payment procedures are followed.
- Handle customer complaints and concerns professionally and escalate complex issues to the Service Manager when required.
- Follow up with customers after service to obtain feedback and ensure customer satisfaction.
- Promote additional service requirements, maintenance packages, accessories, and other after-sales products where appropriate.
- Maintain accurate customer and vehicle information in the Dealer Management System (DMS)/CRM.
- Ensure all repair orders, estimates, approvals, and supporting documents are properly maintained.
- Coordinate with Parts, Warranty, Workshop, Body Shop, and other departments as required.
- Ensure compliance with manufacturer and dealership service procedures and standards.
- Maintain strong knowledge of vehicle models, service schedules, warranty policies, and technical service requirements.
- Monitor customer waiting times and ensure an efficient customer journey.
- Achieve individual and departmental customer satisfaction, sales, and productivity targets.
- Prepare daily and periodic reports as required by management.
- Perform any other duties assigned by the Service Manager or management.
