Job Summary: We are seeking a dedicated and detail-oriented female Customer Service and Facility Coordinator to join our team. In this dual-role position, you will provide exceptional customer service while ensuring the efficient and smooth operation of our facility. You will act as the primary point of contact for customers, addressing their inquiries, resolving issues, and ensuring a positive experience. Additionally, you will oversee facility management tasks, including maintenance scheduling, coordination of services, and ensuring compliance with safety and cleanliness standards.
Key Responsibilities:
Customer Service:
Serve as the first point of contact for customers, addressing inquiries via phone, email, or in person.
Building sustainable relationships and trust with customer accounts through open and interactive communication. Proactively resolve disputes or complaints to maintain customer satisfaction.
Provide clear, accurate, and helpful information about products, services, and company policies.
Resolve customer complaints or concerns quickly and efficiently, escalating issues to management as needed.
Process orders, returns, and other customer requests, ensuring timely and accurate service.
Maintain customer records and ensure all relevant information is updated and organized.
Facility Coordination:
Coordinate and schedule regular maintenance, repairs, and cleaning services for the facility.
Preparing quotations and follow ups – Prepare quotations within 24 hours of inquiry
Coordinate and schedule maintenance and repairs of facilities, including MEP & Civil works and PPMPs.
Collecting Annexures and Job cards, applying for gate pass – Ensure timely application and resolution of any issues related to gate pass approvals.
Typing, preparing and assembling reports, scope of work, method of statement or any other requirement. Perform additional tasks as mutually agreed upon and within the scope of the role.
Managing monthly agenda and databases.
Respond to facility-related inquiries and service requests from employees and clients in a timely and professional manner Ensure high levels of satisfaction through effective communication and problem-solving.
Ensure the facility meets safety, cleanliness, and operational standards.
Following up for renewals and any potential leads received for contracts by client. Maintain a system for tracking and following up on renewals and potential leads. Ensure all customer and operational data is stored securely and complies with data protection regulations.
Liaise with external vendors and service providers for maintenance and repair services. Obtain quotes, negotiate contracts, and oversee the quality of work performed by vendors. Conduct periodic reviews and ensure work aligns with company standards and safety regulations
Manage vendor relationships, including scheduling, contract management, and performance monitoring.
Track inventory for cleaning and maintenance supplies, placing orders as necessary.
Assist in organizing and overseeing the setup of meetings, events, or other activities within the facility.
Ensure that all health and safety protocols are followed, and conduct regular inspections of the facility.
Prepare regular reports on Excel sheet, perform audit on various operations and evaluate processes as per company requirements and to monitor all administrative functions as per requirement.
Additional Duties:
Assist with administrative tasks such as filing, reporting, and maintaining records.
Collaborate with team members and management to improve customer service processes and facility operations.
Ensure effective communication between departments to facilitate smooth day-to-day operations.
Manage the teams, their overtime and attendance records with accuracy and compliance. Address team absenteeism, conflicts, and performance issues in coordination with HR.
Maintain an organized and professional environment for both customers and staff.
Qualifications:
High school diploma or equivalent (required); college degree (preferred).
One-Two years of Proven experience in customer service and facility co-ordination or a similar role (required).
Strong organizational skills with the ability to multitask and manage priorities.
Excellent communication skills, both verbal and written.
Ability to work independently and as part of a team.
Familiarity with facility management processes is a plus.
Proficient in Microsoft Office Suite or equivalent software.
Strong problem-solving skills and attention to detail.

Job Type: Full-time
Pay: AED4,000.00 – AED5,000.00 per month
Ability to commute/relocate:
Dubai: Reliably commute or planning to relocate before starting work (Preferred)
Experience:
Customer Service and Facility co-ordinator: 2 years (Preferred)
