Role Summary

Manage the full HR and administrative function across the group’s UAE operations and coordinate with subsidiary/related entities, covering the employee lifecycle, compliance, performance monitoring, and day-to-day office administration. (Salary processing sits with the existing payroll team.)

Key Responsibilities – HR

•    Manage end-to-end recruitment: sourcing, screening, interview coordination, offer letters, and onboarding.

•    Maintain accurate and up-to-date employee records, contracts, and HR files in line with UAE labour law and JAFZA requirements.

•    Administer attendance and leave management; maintain accurate records and coordinate with the payroll team on inputs.

•    Handle visa, labour card, Emirates ID, and medical insurance processing for UAE staff; coordinate equivalent immigration and HR formalities for AMS Morocco and Amstergi Egypt with local providers/PROs.

•    Manage group medical and life insurance enrolment, renewals, additions, and deletions.

•    Manage the probation process: track probation periods, coordinate assessments with line managers, and issue confirmation, extension, or termination communications.

•    Coordinate training and development activities beyond onboarding; identify needs with management and track completion.

•    Draft and manage all HR communications: offers, confirmations, warnings, resignations, terminations, and policy circulars.

•    Maintain HR policies and the employee handbook.

Performance & MIS

•    Monitor employee KRAs and KPIs; coordinate performance review cycles and track outcomes with management.

•    Prepare and submit MIS reports to management on sales team KRA/KPI performance.

•    Monitor sales incentive achievement against targets, and process incentive calculation and release in coordination with management and the payroll team.

Expiry & Compliance Management

•    Track and manage all expiries: visas, labour cards, Emirates IDs, passports, insurance, trade licences, tenancy contracts, and AMCs.

•    Ensure timely renewals with advance alerts to avoid lapses or penalties.

Admin

•    Oversee all office administration, facilities, and vendor coordination.

•    Manage KYC documentation and submissions for banks, vendors, brands, insurers, and other counterparties.

•    Maintain all business process handbooks (Accounting, Sales, Logistics) to support onboarding and operational consistency.

•    Manage the HR & Admin budget; control and track spend, handle petty cash and expense processing, and reconcile.

•    Manage and control monthly recurring expense payments – staff and admin related (mobile bills, utilities, vehicle expenses, etc.) – ensuring timely processing and verification against usage.

•    Manage procurement of office supplies and maintain asset registers.

•    Coordinate travel, accommodation, and logistics for staff and visitors.

•    Maintain company documentation and liaise with PRO/government services for free zone and immigration formalities.

Qualifications & Experience

•    Bachelor’s degree in HR, Business Administration, or related field.

•    5+ years in HR & Admin, with at least 2 years in the UAE (free zone experience preferred).

•    Strong knowledge of UAE labour law and JAFZA processes.

•    Familiarity with multi-jurisdiction HR (UAE, Morocco, Egypt), or a proven ability to coordinate HR and immigration matters across countries with local providers, an advantage.

•    Proficient in MS Office; experience with HRMS/ERP an advantage.

•    Excellent communication skills; Arabic an advantage.
