The Senior Flight Dispatcher / IOCC Coordinator is responsible for coordinating and monitoring daily flight operations to ensure safe, efficient, compliant, and cost-effective aircraft movements. The role serves as a central point of operational control, facilitating communication and coordination between Flight Operations, Maintenance, Ground Handling, Crew Scheduling, Catering, Security, and other stakeholders to maintain seamless operational performance.
The incumbent is responsible for flight planning, operational control, disruption management, resource coordination, and real-time decision-making to support the organisation’s operational objectives while ensuring compliance with regulatory and company requirements.
Key Responsibilities
Flight Dispatch & Operational Control
- Prepare, review, and release operational flight plans in accordance with regulatory and company requirements.
- Conduct comprehensive pre-flight planning, including route analysis, weather assessment, NOTAM review, airport suitability checks, and fuel planning.
- Monitor all active flights from departure to arrival and provide operational support to flight crews as required.
- Maintain operational control of flights and ensure adherence to safety and regulatory standards.
- Coordinate flight watch activities and provide timely updates on weather, airspace restrictions, airport conditions, and operational disruptions.
- Ensure all flight documentation is accurate, complete, and properly archived.
IOCC Coordination
- Coordinate activities across all operational departments to ensure smooth flight execution.
- Act as the focal point for real-time operational decision-making and communication.
- Manage operational disruptions, delays, diversions, cancellations, and aircraft recovery plans.
- Facilitate coordination between Flight Operations, Maintenance, Ground Operations, Crew Scheduling, Commercial, Security, and Customer Service teams.
- Monitor aircraft utilisation and operational performance to maximise efficiency and minimise disruptions.
- Lead operational briefings and provide situational updates to management and relevant stakeholders.
Crew and Resource Coordination
- Coordinate crew assignments and monitor crew legality, duty limitations, and rest requirements.
- Ensure availability of required operational resources, including aircraft, crews, handling services, fuel, permits, slots, and catering.
- Support aircraft scheduling and fleet allocation activities.
- Coordinate special flight requirements, including VIP, charter, medical evacuation, and humanitarian flights.
Safety, Compliance & Risk Management
- Ensure compliance with NCAA, ICAO, IATA, and company operational requirements.
- Identify operational risks and implement mitigation measures.
- Participate in Safety Management System (SMS) activities and occurrence reporting.
- Support investigations into operational incidents and irregularities.
- Promote a strong safety culture within the Operations Control Centre.
Stakeholder Management
- Liaise with airports, air navigation service providers, regulatory authorities, handling agents, fuel providers, and other service providers.
- Coordinate permit applications, overflight clearances, landing permits, and slot allocations as required.
- Maintain effective communication with internal and external stakeholders throughout flight operations.
Reporting & Performance Monitoring
- Prepare daily operational reports and performance summaries.
- Monitor key operational metrics, including OTP (On-Time Performance), dispatch reliability, delays, cancellations, and aircraft utilisation.
- Provide management with operational analysis and recommendations for continuous improvement.
- Maintain accurate operational records and databases.
Leadership & Team Support
- Provide guidance and mentorship to Flight Dispatchers and Operations Controllers.
- Support training and development initiatives within the IOCC.
- Act as shift lead when assigned and ensure effective coordination of operational activities.
- Assist in the development and review of operational procedures and manuals.
