Job Description
The ideal candidate will have responsibilities including (but not limited to):
Executive Office Management
- Managing the Executive Office and supporting the designated Executive in daily operations.
- Managing calendars, appointments, meetings, travel arrangements, and executive priorities.
- Coordinating and maintaining the Executive’s schedule while ensuring efficient time management.
- Handling confidential correspondence and sensitive executive information with the highest level of discretion.
- Drafting, reviewing, proofreading, and following up on professional correspondence in both Arabic and English.
- Preparing executive summaries, reports, presentations, briefing notes, and business documents.
- Monitoring incoming correspondence and ensuring timely responses and follow-up.
Meeting & Coordination
- Organising executive meetings, preparing agendas, meeting packs, and supporting documents.
- Preparing accurate meeting minutes and maintaining action logs.
- Following up on action items and ensuring timely completion by the responsible parties.
- Coordinating communication between management, departments, clients, consultants, and external stakeholders.
Document & Records Management
- Maintaining confidential electronic and hard-copy filing systems.
- Managing executive documents with proper version control and document referencing.
- Maintaining reports, trackers, registers, and management records.
- Ensuring accurate filing and quick retrieval of official documents.
Administrative & Executive Support
- Coordinating executive office activities and ensuring smooth workflow.
- Assisting in preparing policies, procedures, reports, presentations, and management documents.
- Supporting management with project coordination and institutional initiatives.
- Preparing periodic progress reports and executive dashboards.
- Monitoring deadlines and ensuring timely follow-up on pending matters.
- Coordinating with auditors, consultants, suppliers, service providers, and governmental and non-governmental entities when required.
- Maintaining confidentiality in all executive matters.
- Performing any other duties assigned by Management related to the nature of the position.
Qualifications
- Bachelor’s Degree in Business Administration, Law, Management, Finance, Accounting, or a related field.
- Minimum 5 years of relevant experience.
- At least 3 years’ experience supporting senior executives or executive management.
- Excellent command of English and Arabic, both written and spoken.
- Strong experience in executive correspondence, meeting coordination, and minute-taking.
