We are looking for a detail-oriented and organized Admin for our DNC Consultancy team. The ideal candidate will be responsible for managing various administrative tasks related to contract file updates and providing excellent customer service. This position is crucial for the smooth operation of our consultancy services.
Key Responsibilities:
Contract File Management:
Maintain, update, and organize client contract files.
Ensure all documents are accurate, up-to-date, and stored in compliance with company policies.
Assist with document preparation for new contracts, renewals, and amendments.
Coordinate with team members to ensure that all necessary contract-related information is correctly recorded.
Customer Service:
Serve as the first point of contact for client inquiries via phone, email, or in person.
Provide timely and helpful responses to customer inquiries related to contract status, updates, or issues.
Assist clients in understanding their contracts, terms, and relevant services.
Maintain a positive and professional relationship with clients, ensuring high levels of satisfaction.
Administrative Support:
Assist in the preparation and filing of reports, documents, and correspondence.
Schedule and coordinate meetings or appointments with clients and internal teams.
Maintain databases and ensure that all information is entered accurately and updated regularly.
Data Entry & Documentation:
Input and update client and contract information into the system.
Perform routine checks to ensure all records are up-to-date and compliant with internal procedures.
Assist with the creation of invoices and follow up on any billing issues when necessary.
General Office Support:
Assist with general office duties as needed, such as organizing files, preparing documents, and handling routine office tasks.
Maintain confidentiality of sensitive client and company information.
