TheAdministrative Assistantduties and responsibilities include providing administrative support to ensure efficient operation of the office and supports the Administrative Manager and office employees through a variety of tasks related to organization and communication.
ResponsibilitiesThe following items represent the majority of the duties performed by the position but is not meant to be all inclusive nor to prevent other duties from being assigned when necessary. Regular and reliable attendance is essential and required in performance of job.
Arrange travel and accommodations for rotators and visitors
Produce and distribute correspondence memos and letters
Order front office supplies and keep inventory of stock
Keep updated records of office expenses and costs
Perform other clerical duties such as filing and photocopying.
Assisting colleagues with administrative tasks
Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material
Provide basic and accurate information in-person and via phone/email
Maintain office security by following safety procedures and controlling access via the reception desk.
Update calendars and schedule meetings
Managing the janitor.
KNOWLEDGE, SKILLS And ABILITIES
Minimum education, experience, technical, and communication skill levels, and licenses/certificates normally required to perform the duties of this position.
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office
High school diploma or equivalent; college degree preferred
Working Relationships/Contacts
Positions, other than supervisor and immediate co-workers, with which incumbent has frequent contact and the reason for contact.
Internal –
regular contact with all levels of employees and management.
External
– contact with outside services and vendors, clients, job applicants and visitors.
