1. Accounts Duties:
Maintain accurate and up-to-date financial records, including ledgers, balance sheets, and income statements.
Process invoices, receipts, and payments, ensuring accuracy and timely processing.
Monitor accounts payable and receivable, tracking overdue payments and processing refunds where necessary.
Assist in the preparation of financial reports for management, highlighting key financial trends and forecasts.
Reconcile bank statements with the accounting system to ensure accuracy.
Ensure compliance with tax laws, filing requirements, and other financial regulations.
Assist in monthly, quarterly, and annual financial closing processes.
2. Purchase Duties:
Manage and maintain the procurement of goods and services required by the company.
Identify potential suppliers, negotiate prices, and manage relationships with vendors.
Create and manage purchase orders, ensuring timely delivery of materials and services.
Monitor inventory levels, placing orders for products when stock is low.
Coordinate with internal departments to ensure purchase orders align with operational needs.
Review and compare quotes from suppliers and ensure cost-effective purchasing decisions.
Handle vendor invoices, ensuring accuracy and processing them for payment.
3. Coordination:
Act as a liaison between the finance department and the procurement team.
Track and ensure proper documentation for purchases and payments, ensuring compliance with organizational policies.
Assist in the preparation of budget plans for procurement and accounting purposes.
Resolve any discrepancies or issues between vendors, finance, and procurement teams.
4. Reporting:
Prepare and submit regular reports on accounts, purchases, and inventory levels to senior management.
Track and monitor spending trends, identifying areas for cost savings or potential issues.
