The Sales Coordinator is responsible for providing administrative and operational support to the Sales Department by preparing and maintaining quotations, coordinating machine sales and servicing activities, managing client communications, and ensuring the timely completion of sales-related documentation. The role serves as a key link between clients, the sales team, suppliers, and internal departments to ensure a smooth and efficient sales process.
Key ResponsibilitiesSales Administration
- Prepare, issue, and maintain accurate customer quotations in line with company pricing and policies.
- Follow up on quotations and update the sales team on their status.
- Process sales orders and ensure all supporting documentation is complete.
- Maintain accurate sales records, customer databases, and filing systems.
- Prepare reports on quotations, sales activities, and outstanding orders as required.
Client Relationship Management
- Respond to customer enquiries in a professional and timely manner.
- Liaise with clients regarding quotations, orders, deliveries, and machine availability.
- Coordinate communication between customers and the sales team.
- Ensure clients are kept informed of order progress and any changes to delivery schedules.
Machine Coordination
- Maintain records of machine inventory, allocations, and customer deliveries.
- Coordinate machine movements between suppliers, workshops, and customers.
- Track machine servicing, repairs, and maintenance schedules where applicable.
- Ensure all machine documentation, including serial numbers, warranties, and delivery records, is accurately maintained.
Documentation & Compliance
- Prepare purchase orders, invoices, delivery notes, and related sales documentation.
- Maintain electronic and physical records of customer files and machine documentation.
- Ensure documentation complies with company procedures and quality standards.
Coordination & Support
- Work closely with the Sales, Operations, Workshop, and Accounts departments to ensure seamless order processing.
- Coordinate delivery schedules with logistics and customers.
- Assist with supplier communication regarding machine availability, pricing, and lead times.
- Support the sales team with administrative tasks and special projects as required.
General Responsibilities
- Maintain confidentiality of customer and company information.
- Ensure a high level of customer service is provided at all times.
- Identify opportunities to improve sales administration processes and workflow efficiencies.
- Perform any other duties reasonably assigned by management.

Qualifications & Experience
- Diploma or Bachelor’s degree in Business Administration, Sales, or a related field (preferred).
- Minimum of 2–3 years’ experience in a sales coordination or sales administration role.
- Experience within machinery, equipment, engineering, construction, or industrial industries is advantageous.
- Experience preparing quotations, coordinating orders, and maintaining customer records.
Pay: AED2,500.00 – AED4,000.00 per month
