We are looking for a Recruitment Operations Specialist for our client, who is a prestigious organisation in Abu Dhabi.
This role has a contract duration of 12 months.
Key Responsibilities:
Interview Logistics: Coordinate end-to-end interview processes, ensuring all participants are scheduled promptly, informed clearly, and supported throughout.
Independence in Action: Preempt scheduling challenges, propose alternatives, and ensure interviews progress without disruption—limiting the need for recruiter involvement.
Communication Hub: Be the go-to contact for candidates and external recruitment agencies, providing consistent updates, addressing queries, and maintaining a high standard of candidate experience.
Follow-Up & Feedback: Take ownership of collecting structured interview feedback, nudging stakeholders when needed, and flagging any delays that could affect timelines.
Travel Support: Arrange flights, hotel stays, and other travel needs for candidates coming in for interviews, while keeping everyone in the loop with clear and timely updates.
Panel Design: Recommend interviewer panels suited to the level and nature of the role, ensuring consistency with internal guidelines and previous hiring setups.
Pipeline Reporting: Maintain up-to-date dashboards tracking progress for each open role, highlighting delays and suggesting remedies to keep hiring on track.
Document Preparation: Draft and review job postings, offer letters, and employment contracts with a meticulous eye, ensuring clarity and consistency.
Project Participation: Contribute to broader recruitment initiatives beyond daily coordination tasks—offering support on projects that drive process improvements.
Issue Management: Solve problems before they escalate—whether it’s a delayed response or a process snag—and create workarounds that keep things moving smoothly.
Tech & Tools: Actively promote and utilize internal HR systems, identifying opportunities for automation and improved efficiency through digital tools and integration.
Requirements:
At least 4 years of recent experience in recruitment operations
Proven ability to manage high-volume hiring cycles and large-scale interview coordination
Experience working with global teams and across international time zones
Strong command of English (written and spoken)
Comfortable working with HR systems/ATS platforms and driving adoption
Exceptional organizational, communication, and stakeholder management skills
Ability to work independently, take initiative, and troubleshoot under pressure
Exposure to drafting and reviewing employment documentation (job descriptions, offers, contracts
Availability:
Preference will be given to candidates who are immediately available or 30 days after accepting the offer.
