MAIN GOAL

The Customer Service Representative plays a crucial role in managing customer and prospect inquiries, orders, and supporting sales efforts. The Customer Service Representative will be responsible for ensuring timely and effective communication with our customers and prospects, processing orders, and assisting the Customer Service Manager.

DUTIES – MISSIONS

Manage Customer and Prospect Inquiries:

Provide prompt, professional, and accurate responses to customer and prospect queries, including samples, stock availability, product details, claims, RFQs, and Proforma Invoices.
Follow up on customer offers, gather detailed prospect information, and communicate findings to the Customer Service Manager.
Prioritize urgent inquiries efficiently to ensure smooth customer interactions.
Identify recurring issues and proactively propose solutions to improve customer experience.

Customer Order Management:

Accurately analyze and register customer orders while ensuring all details are correctly documented.
Send Order Acknowledgments (ARCs) and keep customers informed on order status.
Work closely with the Logistics department to prioritize and coordinate deliveries while addressing potential challenges.
Anticipate potential order processing issues and collaborate with relevant teams to find timely solutions.

Sales Support & Collaboration:

Actively support sales promotion initiatives, including systematic outreach to distributors.
Propose alternative or complementary products to customers based on availability and business needs.
Collaborate with sales representatives to generate accurate and competitive quotations, ensuring timely follow-ups.
Liaise closely with the sales team to align customer service activities with sales strategies and market opportunities.
Work with partners and distributors to streamline order fulfillment and address operational challenges.

Assist the Customer Service Manager:

Communicate effectively with the Customer Service Manager regarding order updates and customer requests.
Handle Customer Relationship Management (CRM) activities efficiently, ensuring all information is up to date.
Independently resolve customer requests that do not require escalation, demonstrating strong problem-solving skills.
Analyze key performance indicators (KPIs) and suggest improvements to optimize service levels and achieve market targets.
Provide insights to management on recurring customer challenges and recommend process improvements.

Coordinate Deliveries & Logistics:

Prepare and send shipping documents accurately, ensuring compliance with delivery terms.
Coordinate logistics and customs clearance services while anticipating and mitigating potential issues.
Collaborate with logistics partners to ensure efficient and cost-effective delivery solutions.
Address and resolve delivery-related issues by working closely with the logistics and sales teams.

Documentation & System Updates:

Maintain accurate records of daily delivery notes and invoices.
Update customer files in Minos and CRM, ensuring contact details, special requirements, and payment terms are well-documented.
Ensure data accuracy to support decision-making and avoid operational delays.

Customer Payment Follow-Up:

Assist the Finance team in monitoring and following up on customer payments, ensuring accuracy and timeliness.
Proactively communicate with customers regarding overdue payments and coordinate with sales teams to resolve payment issues.

Job Types: Full-time, Permanent

Pay: AED4,000.00 – AED5,000.00 per month

Education:

Bachelor’s (Required)

Experience:

Customer Service/Sales Support: 2 years (Required)
