Job Summary:

We are seeking a professional and organized Receptionist and Administrative Assistant to manage front desk operations and provide administrative support to our team. The ideal candidate will be the first point of contact for clients, visitors, and staff, ensuring smooth day-to-day operations while maintaining a welcoming and efficient office environment.

Key Responsibilities:

Greet and welcome visitors in a professional and friendly manner.
Answer, screen, and direct phone calls and emails promptly.
Manage and maintain office schedules, appointments, and meetings.
Handle incoming and outgoing mail, packages, and deliveries.
Maintain office supplies inventory and place orders as needed.
Assist with administrative tasks such as data entry, filing, and document management.
Prepare reports, correspondence, and other documents as requested.
Support HR, finance, and other departments with clerical tasks.
Ensure the reception area and office spaces are tidy and organized.
Assist with travel arrangements, bookings, and event coordination.
Uphold confidentiality and security of sensitive company information.

Required Qualifications and Skills:

High school diploma or equivalent; an associate or bachelor’s degree is a plus.
Proven experience as a receptionist, administrative assistant, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Friendly, professional demeanor with strong customer service skills.
Ability to handle confidential information with discretion.
Attention to detail and problem-solving skills.
Ability to work independently and as part of a team.

Preferred Qualifications:

Experience in office administration or customer service.
Knowledge of office management systems and procedures.
Familiarity with basic bookkeeping or HR tasks is a plus.
