Role Description
We are seeking a proactive and highly organised Real Estate Administrator to join our Dubai office on a full-time, on-site basis. This role combines front office coordination with real estate administrative support, ensuring smooth day-to-day operations and providing essential support to our sales team.
The ideal candidate must have prior experience in Dubai real estate administration, including managing property listings, coordinating documentation, and supporting agents to ensure efficiency and compliance. This role is suited to someone detail-oriented, proactive, and comfortable working in a fast-paced real estate environment.
Key Responsibilities
- Welcome clients, visitors, and partners in a professional and friendly manner
- Manage incoming calls, emails, and general enquiries efficiently
- Coordinate appointments, meetings, and schedules for the sales team
- Maintain a tidy, organised, and professional reception area
- Manage and upload property listings on major portals (Property Finder, Bayut, Dubizzle, etc.)
- Ensure listings are accurate, updated, and compliant with Dubai real estate regulations
- Coordinate with agents to gather property details, photographs, and documentation for listings
- Monitor and update listings regularly to maintain visibility and performance
- Provide administrative support to the sales team to ensure smooth daily operations
- Assist agents with documentation, forms, and property-related paperwork
- Coordinate internal processes between agents, management, and external partners
- Ensure agents have the administrative support and resources required to perform efficientlySupport general administrative tasks and office coordination
- Maintain organised records and documentation
- Assist with client follow-ups and provide general information about properties and services
Qualifications & Skills
- Previous Dubai real estate administration experience is mandatory
- Proven experience managing property listings on Property Finder, Bayut, and Dubizzle
- Excellent communication and interpersonal skills
- Strong organisational and time-management abilities
- Ability to multitask in a fast-paced environment
- Fluency in English is required; additional languages are an advantage
- Professional appearance and positive attitude
- Proactive mindset with the ability to take initiative and support the team effectively
