Job Summary

The Project Sales Administrator is responsible for supporting the sales and project teams by preparing quotations, managing project documentation, coordinating orders, monitoring payments, and ensuring smooth communication between customers, suppliers, production, and internal departments.

Key Responsibilities

  • Prepare and submit quotations to customers based on project requirements.
  • Follow up on submitted quotations and assist the sales team in securing orders.
  • Monitor customer payments and coordinate with the accounts department to ensure timely collections.
  • Upon receipt of a Purchase Order (LPO) or Contract, review all project documents and verify that all requirements are complete and accurate.
  • Coordinate the preparation and submission of advance payment requests, performance bonds, material submittals, and other required project documentation.
  • Follow up with customers, consultants, and contractors regarding approvals and outstanding documents.
  • Coordinate and monitor production schedules to ensure orders are processed and delivered on time.
  • Maintain accurate project records, including contracts, purchase orders, approvals, and correspondence.
  • Prepare and submit invoices and payment applications as required.
  • Follow up on outstanding receivables and ensure payments are collected according to agreed terms.
  • Assist in project close-out activities, including submission of final documents, warranties, operation manuals, and completion certificates.
  • Provide regular updates to management regarding project status, payments, deliveries, and receivables.
  • Ensure all administrative tasks are completed in accordance with company procedures and project requirements.

Skills & Qualifications

  • Strong organisational and administrative skills.
  • Good knowledge of Microsoft Office applications, especially Excel and Word.
  • Excellent communication and follow-up skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Attention to detail and accuracy in documentation.
  • Experience in project sales administration, construction, interior fit-out, or related industries is preferred.

Pay: QAR2,500.00 – QAR4,000.00 per month

Education:

  • Bachelor’s (Required)

Experience:

  • Reading Autocad: 2 years (Required)
  • Projects: 2 years (Required)
  • Preparing Quotes: 2 years (Required)
