The Project Manager – is responsible for managing the complete lifecycle of event fit-out projects, from concept development and technical planning through execution, installation, and project closeout. The role ensures that all projects are delivered on time, within budget, and in accordance with the client’s requirements, company quality standards, and HSE regulations.

Working closely with clients, designers, architects, production teams, procurement, and site supervisors, the Project Manager translates creative concepts into practical, buildable, and cost-effective solutions while maintaining the highest standards of execution.

Key Responsibilities Project Planning & Management

  • Manage multiple event fit-out and temporary structure projects simultaneously.
  • Develop project execution plans, schedules, milestones, and resource allocations.
  • Monitor project progress and proactively resolve issues affecting delivery.
  • Ensure projects are completed within the approved budget and timeline.
  • Conduct project kick-off, progress, and closeout meetings.

Design & Technical Coordination

  • Review client briefs, drawings, and design concepts.
  • Coordinate with architects, designers, and engineering teams to develop practical construction solutions.
  • Ensure all drawings are technically accurate, buildable, and compliant with project requirements.
  • Review shop drawings, material specifications, and production details before fabrication.
  • Identify design conflicts and coordinate necessary revisions.

Client Management

  • Serve as the primary point of contact for assigned projects.
  • Attend client meetings, technical workshops, and site inspections.
  • Present technical solutions and project updates.
  • Ensure client expectations are met throughout the project lifecycle.
  • Manage variations, approvals, and change requests.

Site Execution

  • Supervise installation and dismantling activities.
  • Coordinate site teams, subcontractors, suppliers, and logistics.
  • Ensure works are executed according to approved drawings and specifications.
  • Conduct regular site inspections to monitor quality and progress.
  • Resolve site challenges efficiently to avoid delays.

Procurement & Production Coordination

  • Coordinate with procurement for timely material sourcing.
  • Liaise with production workshops regarding fabrication schedules.
  • Monitor manufacturing progress and ensure quality standards are maintained.
  • Verify materials before delivery to site.

Budget & Cost Control

  • Monitor project costs against approved budgets.
  • Review quotations, subcontractor proposals, and purchase requests.
  • Identify opportunities for cost optimization without compromising quality.
  • Prepare project cost reports and forecasts.

Quality & HSE

  • Ensure compliance with company quality standards and HSE regulations.
  • Conduct quality inspections during fabrication and installation.
  • Ensure all site activities comply with local authority requirements.
  • Maintain project documentation, inspection reports, and completion records.

Documentation & Reporting

  • Prepare project schedules and weekly progress reports.
  • Maintain project documentation including RFIs, drawings, approvals, meeting minutes, and variation orders.
  • Submit final project handover documentation upon completion.

Required Qualifications

  • Bachelor’s Degree in Architecture, Civil Engineering, Interior Design, Construction Management, Project Management, or a related discipline.
  • PMP certification is an advantage.
  • OSHA, IOSH, or NEBOSH certification is an added advantage.

Experience

  • 5–8 years of experience in event fit-out, exhibition, entertainment, temporary structures, or interior fit-out projects.
  • Proven experience managing projects from concept through handover.
  • Experience working with production workshops and on-site installation teams.
  • Experience coordinating with consultants, clients, and subcontractors.

Technical Skills

  • Strong understanding of event fit-out construction methods and materials.
  • Ability to interpret architectural, structural, and MEP drawings.
  • Knowledge of fabrication processes including woodwork, metalwork, acrylic, branding, and finishing.
  • Proficiency in AutoCAD and Microsoft Office.
  • Familiarity with SketchUp, Revit, Primavera P6, or Microsoft Project is an advantage.
  • Excellent project planning and scheduling skills.
