POSITION PROFILE

The Project Development Assistant works in a dynamic and fast-paced environment, focusing primarily on fundraising, grant management and stakeholder engagement. As part of the Project Development team, you will help conceptualise meaningful, innovative and impactful projects and translate these ideas into clear and compelling fundraising documents. You will also work closely with committed project teams to support grant management, including drafting reports, preparing communication materials and contributing to other day-to-day grant management responsibilities. In addition, you will play a leading role in liaising with national stakeholders, including reporting to government ministries and working alongside the Project Development Manager to build and maintain constructive relationships with Acted’s national partners and stakeholders.

1. Fundraising

  • Support in the analysis of the country’s socio-economic situation, (donor) trends, needs and gaps;
  • Support in regular stakeholder analysis, in particular who does what and where (3W)
  • Regularly update donor matrix as well as partner database – international and local NGOs, other partners and stakeholders;
  • Regularly check the websites of potential donors to identify and flag relevant Calls for Proposals and other funding opportunities;
  • Proactively research new and emerging topics, analyse relevant evidence and good practices to inform project design and fundraising;
  • Contribute to the drafting and updating of fundraising documents (be it expression of Interests/ Concept Notes/ Proposals) in line with Acted country strategy and donor requirements;
  • Contribute to the liaison with FLATS[1] teams in the development of fundraising documents, particularly finance.
  • Integrate learning from previous interventions (e.g. lessons learnt and best practices) into new proposals.

2. Grant Management

  • Ensure that contractual obligations and reporting deadlines and ad hoc requests are known and met by Acted teams;
  • Liaise with relevant departments on the organization of kick-off and close-out meetings for each project, consolidate inputs, save on the server and take minutes;
  • Write quality narrative reports, reflecting the progress and status of projects in a transparent, timely and professional manner, in liaison with Acted HQ;
  • Work in close relation with MEAL to incorporate data (incl. data on input, process, output, outcome and impact indicators, lessons learnt and best practices) in reports and ensure consistency of MEAL reports with PD and programme reports;
  • Support liaison with partners when required to develop relevant teaming / grant agreements in close coordination with Acted HQ;
  • Ensure partners report to Acted in a timely, clear, comprehensive, consistent and qualitative manner, and provide adequate feedback as needed.
  • Supporting the occasional development of communications and visibility items for ongoing projects

3. Internal Coordination

  • Facilitate interdepartmental communication and information sharing by taking minutes of the various Acted coordination meetings;
  • Respond to requests from Acted colleagues regarding project contract requirements, donor communication guidelines, requirements related to project reporting, fundraising or any other relevant requests;
  • Identify and channel PD-related critical issues to line manager.
  • File properly contractual project documents both in hard and soft copies and ensure that Project Development Department files, both hard and soft copies, are always up to date;

4. External Coordination

  • Coordinate the preparation and submission of accurate and complete reports to relevant ministries, liaising closely with Finance and Project teams to consolidate and verify information and ensure all submission deadlines are met.
  • Prepare and submit project plans required by ministries and relevant national authorities, ensuring compliance with applicable formats, procedures and requirements.
  • Keep relevant ministries and national stakeholders appropriately informed of Acted’s ongoing and planned activities, key developments and project achievements.
  • Serve as the focal point for coordinating requests for and obtaining necessary approvals, endorsements and authorizations from ministries and other national stakeholders.
