We’re seeking a Project Coordinator to join ourinnovativeBloomberg Live Experiences team.
We’ll Trust You To
Assist the Executive Producer and Project Director in managing all aspects of the event’s lifecycle, from pre-event planning to post-event wrap-up.
Provide logistical and event production support, with specific focus on providing local insight.
Provide local support & manage day to daycommunicationto venues & vendors & stakeholders/authorities as required.
Conduct venue & vendor research, inspections & site visits and provide recommendations as requested.
Help organize, prepare documentation for, and attend site visits / vendor meetings as required.
Assist with protocol/government relations support as directed by the protocol team.
Ensure information is shared within the team globally and documented on timely and regular basis.
Collate meeting notes / action points / circulate to rest of QEF departments as required.
Structure thoughtful and efficient agendas for team meetings & visits.
Assist with collating “Fast Fact” Report due Day 3 of the Forum.
Assist with collating Post Event Report due 3-4 weeks post Forum.
Ensure tasks and milestones are completed on time, assisting in the creation and monitoring of project timelines and schedules.
Problem-Solving& On-the-Day Support:
Be on-hand during the event for any last-minute adjustments, troubleshooting, and general event management. Support the team in ensuring everything runs smoothly.
BilingualCommunication:
Draft and translate event-related documents, emails, and correspondence in both Arabic and English, ensuring consistency and clarity.
Liaise on tent card printing needs between Authorities + BBG + production agency.
Assist on seating plan coordination between Authorities + BBG.
Manage scheduling & logistics for when BBG travels to Qatar.
Assist with ensuring VIPguest experienceis seamless across all functions.
Assist with VIP welcome packs in rooms. Available to receive and manage deliveries at BBG office and track inventory of event related collateral.
You’ll Need To Have
Experience:
Minimum of 3 years of experience in event coordination or a similar role, with aproven track recordof managing logistics and administrative tasks for high-profile events.
