Job Responsibilities
- Manage and oversee the entire procurement cycle, from receiving purchase requisitions to final delivery and closing purchase orders, in accordance with approved procurement policies and procedures.
- Receive and review purchase requisitions, ensuring technical specifications are complete, budgets are available, and all required approvals have been obtained.
- Prepare Requests for Quotation (RFQ) and Requests for Proposal (RFP), receive and evaluate supplier quotations, conduct technical and commercial analyses, prepare comparison sheets, and recommend supplier awards.
- Negotiate with suppliers to secure the best prices, delivery terms, payment conditions, warranties, and overall value for money.
- Issue purchase orders, prepare contracts, and monitor contract execution with suppliers through to final delivery and acceptance.
- Coordinate with technical, finance, logistics, and project departments to ensure procurement activities are executed according to project plans and timelines.
- Monitor shipping, transportation, and customs clearance activities when required, ensuring timely delivery of goods.
- Manage supplier contracts and agreements, ensuring compliance with contractual terms, conditions, and delivery schedules.
- Identify, evaluate, and qualify new suppliers, maintain the supplier database, and conduct periodic supplier performance evaluations.
- Conduct market research, monitor price trends, and identify suitable alternative products or suppliers when necessary.
- Prepare periodic procurement reports covering contracts, purchase order status, supplier performance, and achieved cost savings.
- Contribute to the continuous improvement of procurement procedures and operational efficiency.
- Ensure compliance with procurement policies, governance standards, and applicable regulations.
- Perform any other related duties assigned by the direct manager.
Education
- Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, Logistics, or any related field.
Required Experience
- Minimum 3–5 years of experience in procurement, operations, or supply chain management.
- Proven experience in managing the full procurement cycle, including preparing RFQs/RFPs, evaluating bids, and negotiating with suppliers.
- Experience in managing purchase orders and contracts through to final delivery and procurement closure.
- Ability to manage multiple procurement activities simultaneously while effectively prioritizing workloads.
- Good knowledge of shipping, logistics, and import/export procedures is considered an advantage.
- Proficiency in Microsoft Office applications, particularly Microsoft Excel, with practical experience using ERP systems such as Odoo, SAP, Oracle, or equivalent.
- Excellent command of the English language, both written and spoken.
- Strong communication, negotiation, problem-solving, and organizational skills, with the ability to work effectively under pressure.
- Previous experience in trading companies, logistics, international projects, humanitarian organizations, or facilities management is preferred.
