Key Responsibilities
- Assist with basic HR functions, including employee documentation, onboarding, leave records, attendance monitoring, and maintaining personnel files.
- Provide comprehensive secretarial and administrative support to senior management.
- Manage executives’ calendars, schedule meetings, appointments, and coordinate travel arrangements.
- Prepare and manage correspondence, reports, presentations, and other business documents using Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Handle client communications professionally and provide excellent client service.
- Coordinate daily office operations and ensure compliance with company policies and procedures.
- Support procurement activities, including sourcing suppliers, obtaining quotations, processing purchase orders, and coordinating with vendors and clients.
- Organize meetings, prepare agendas, record meeting minutes, and follow up on action items.
- Maintain confidential records and handle sensitive information with the highest level of discretion.
- Perform other administrative and executive support duties as assigned.
Requirements
- Bachelor’s degree (Full-Time) in Business Administration or a related field.
- Graduates through correspondence or distance learning will not be considered.
- 5–6 years of proven experience as a Personal Secretary, Executive Secretary, Executive Assistant, or in a similar administrative role.
- Minimum 3–4 years of experience in basic HR administration, including employee records, onboarding, attendance, and HR documentation.
- Strong proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint).
- Background or working knowledge in procurement or supply chain is preferred.
- Excellent organizational, multitasking, and time management skills.
- Strong attention to detail with the ability to work independently.
- Excellent verbal and written communication skills in English.
- Ability to maintain confidentiality and exercise sound judgment.
- Experience working in a dynamic and fast-paced environment.
- Candidates available for immediate joining and currently on a visit visa will be given priority.
- Must be currently available in Abu Dhabi and able to attend face-to-face interviews.
