We are seeking a dedicated and detail-oriented and trustworthy candidate to provide comprehensive administrative and personal support to an individual and their family. This office role involves managing global assets, overseeing travel, maintaining records, and ensuring smooth day-to-day operations across multiple domains. 

 

Responsibilities:

Personal Asset Management, Administrative & Organizational Support:

Organize and manage documents related to global assets including real estate, companies, and personal investments.

Ensure accurate filing and tracking of critical documents such as business registrations, tax filings, board resolutions, and financial statements.

Maintain comprehensive digital and physical records for the family, including passports, IDs, insurance, and property files.

Track and manage document renewals such as visas, licenses, and insurance.

Travel & Lifestyle Coordination:

Plan and book international and domestic travel, including flights, accommodations, and ground transportation.

Prepare detailed itineraries and manage logistics for smooth travel experiences.

Research and propose options for family vacations, events, fine dining, educational institutions, and medical providers.

Financial & Bookkeeping Assistance:

Monitor and track personal and household expenses; organize receipts and prepare budget reports.

Coordinate with external accountants to ensure smooth and timely annual tax filing.

Provide assistance in organizing financial records and preparing reconciliations as needed.

Technology & Communication:

Coordinate annual tax filing working with accountants. 

Support all day-to-day administrative needs using tools such as Google Workspace (Gmail, Drive, Calendar, Docs, Sheets) and Microsoft Office Suite.

Prepare professional-level documents, presentations, spreadsheets, and reports.

Manage contacts, calendars, appointments, and important dates for family members.

Ad Hoc Support:

Perform any other tasks needed to support operational success.

Qualifications and Skills:

Education: Bachelor’s degree is required. Preference Business Administration or related disciplines

Experience: Minimum of 3 years as personal assistant, or in a similar private support role. 

Language Skills: English professional-level proficiency in writing, reading, speaking, and listening is mandatory. Knowledge of French and/or Portuguese is an advantage.

Strong attention to detail and commitment to excellence.

High level of professionalism, and task prioritization skills and time management.

A self-learner with the ability to independently learn new programs or skills through self-study.

Willingness to learn and take initiative in new areas.

Flexible and adaptable to a dynamic, multi-tasking environment.

Flexibility: While we strive to support a healthy work-life balance, working globally sometimes requires flexibility in scheduling. This may involve waking up early or staying up late to coordinate with different time zones.

Travel: Must hold a valid passport and be able to travel

Compensation: Based on qualification and experience.
