Job Overview:
The Event Coordinator is responsible for overseeing the planning, organization, and execution of events, ensuring that each one meets the client’s needs and expectations. The coordinator will also manage leads, from initial contact through to successful event completion. Additionally, the role requires having a valid driving license to travel to event locations as needed.
Key Responsibilities:
Event Planning & Coordination:
Work closely with clients to understand their needs and vision for events.
Develop event timelines, budgets, and schedules.
Coordinate logistics for all event aspects (venue, catering, decorations, audio/visual needs, etc.).
Secure vendors, suppliers, and contractors, ensuring they meet event requirements.
Oversee event setup and breakdown, ensuring everything runs smoothly.
Lead Management:
Generate and manage leads through inbound inquiries, follow-ups, and prospecting.
Develop and maintain a lead pipeline, converting inquiries into confirmed bookings.
Establish strong relationships with potential clients, understanding their needs and providing tailored solutions.
Track lead progress, ensuring timely follow-up and closure.
Team & Vendor Management:
Work with internal teams (marketing, sales, design) and external vendors to ensure event success.
Supervise event staff and volunteers to ensure roles and responsibilities are clearly understood.
Ensure vendors and suppliers adhere to the terms of their contracts.
On-Site Event Oversight:
Serve as the point of contact for clients and vendors during events.
Troubleshoot and resolve any issues that arise during the event.
Ensure the event environment meets quality standards and client expectations.
Post-Event Evaluation & Reporting:
Gather client feedback to assess event success and areas for improvement.
Prepare post-event reports, detailing event performance, costs, and client satisfaction.
Follow up with leads to assess satisfaction and maintain relationships for future opportunities.
Travel & Transportation:
Travel to and from event locations as needed.
Ensure timely arrival at event sites for setup, coordination, and oversight.
Qualifications:
Proven experience in event planning or coordination in UAE market.
Strong communication and negotiation skills.
Ability to manage multiple projects simultaneously and meet deadlines.
Excellent organizational and problem-solving skills.
Experience with lead generation and client relationship management.
Proficiency in event planning software or tools is a plus.
Valid driving license and willingness to travel to various event locations.
