About the Role
Efficient Concepts Building Materials Trading LLC is looking for a highly organised and proactive Personal Assistant to provide dedicated administrative and executive support to the Director.
This is a fast-paced role requiring excellent organisational skills, attention to detail, and the ability to manage multiple priorities while maintaining confidentiality and professionalism.
This is a full-time, office-based position. It is not a hybrid or work-from-home role.
Key Responsibilities
- Manage the Director’s daily diary and schedule.
- Arrange meetings, appointments, and travel when required.
- Organise and prioritise the Director’s calendar.
- Send appointment reminders and ensure timely follow-ups.
- Screen and manage incoming calls, emails, and correspondence.
- Prepare meeting agendas, presentations, and reports.
- Take minutes during meetings when required.
Administrative Duties
- Draft professional letters, emails, and business correspondence.
- Maintain organised electronic and physical filing systems.
- Prepare documents using Microsoft Word, Excel, PowerPoint, and Outlook.
- Coordinate with internal departments and external stakeholders.
- Track outstanding actions and follow up to ensure timely completion.
- Assist with general office administration and document management.
Daily Coordination
- Monitor deadlines and remind the Director of key commitments.
- Coordinate meetings with clients, suppliers, and business partners.
- Maintain confidentiality of sensitive business information.
- Support ad hoc projects and administrative tasks as assigned.
Requirements
Mandatory
- Minimum 3 years’ experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Excellent spoken and written English.
- Excellent communication and interpersonal skills.
- Strong organisational and time management abilities.
- Proficiency in Microsoft Office, including:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Outlook
- Experience managing calendars and executive diaries.
- Ability to work independently with minimal supervision.
- High level of professionalism and confidentiality.
Preferred
- UAE work experience.
- Own transport to commute to Al Sajja Industrial Area.
- Experience supporting senior management or directors.
- Ability to prioritise multiple tasks in a fast-paced environment.

- The position requires working six (6) days per week.
- Own transport is mandatory due to the office location.
