We are seeking a highly organised, proactive, and ambitious Investment Migration Operations Executive to become the operational backbone of our growing business.

This is not a traditional administrative position. The successful candidate will support investment migration operations, client relationship management, CRM administration, HR, finance, office operations, and business process improvement.

Important Role Clarification

This role focuses primarily on high-net-worth Citizenship by Investment and Residency by Investment programmes.

It is not primarily a role for processing employment visas, visit visas, family visas, or general PRO services.

Candidates with direct experience in investment migration will receive strong preference. Candidates without direct CBI or RBI experience must demonstrate strong research ability, exceptional attention to detail, and a genuine commitment to mastering the industry.

🌍 Investment Migration Operations

You will be responsible for developing and maintaining detailed knowledge of programmes including:

  • Türkiye Citizenship by Investment
  • Antigua and Barbuda
  • Dominica
  • Grenada
  • St Kitts and Nevis
  • Saint Lucia
  • Other emerging citizenship and residency programmes

Your responsibilities will include:

  • Monitoring official government announcements, policy changes, programme requirements, processing times, government fees, investment options, and eligibility criteria.
  • Continuously researching new investment migration opportunities and global industry developments.
  • Maintaining accurate internal programme guides, comparison sheets, SOPs, knowledge bases, and operational documentation.
  • Supporting consultants with the preparation of complete and accurate client application files.
  • Reviewing documentation before submission and identifying missing, incorrect, or inconsistent information.
  • Ensuring all information provided to clients is accurate, compliant, and supported by reliable sources.
  • Coordinating with clients, consultants, agents, lawyers, developers, and authorised programme partners when required.
  • Maintaining clear application checklists and tracking every case through its relevant stages.

🤝 Client Relationship Management

  • Handle client enquiries professionally through phone, email, WhatsApp, and other communication channels.
  • Communicate confidently and professionally with high-net-worth individuals and their families.
  • Follow up with prospective and existing clients.
  • Schedule consultations, meetings, and application-related appointments.
  • Request outstanding documentation and provide clear instructions to clients.
  • Keep clients informed about application progress, outstanding requirements, and programme updates.
  • Maintain confidentiality and discretion at all times.
  • Deliver an exceptional client experience throughout the entire journey.

📊 CRM and Lead Management

  • Manage and maintain Zoho CRM.
  • Record every enquiry, lead, consultation, and client interaction accurately.
  • Update client profiles, communication histories, notes, documents, and follow-up dates.
  • Track leads through the correct sales and application pipeline stages.
  • Ensure no enquiry, follow-up, or client request is missed.
  • Maintain clean, accurate, and organised CRM data.
  • Prepare pipeline, follow-up, conversion, and operational reports when required.

🏢 Office and Business Operations

  • Manage day-to-day office operations and administrative activities.
  • Prepare professional reports, presentations, proposals, contracts, letters, and business documentation.
  • Maintain organised digital and physical filing systems.
  • Coordinate management calendars, meetings, office supplies, vendors, and service providers.
  • Support management with strategic projects and daily operational requirements.
  • Identify operational gaps and recommend practical solutions.
  • Improve workflows through automation, technology, templates, and structured processes.
  • Take ownership of tasks and follow them through to completion without repeated supervision.

👥 HR Administration

  • Coordinate recruitment activities and interview scheduling.
  • Support employee onboarding and offboarding.
  • Prepare employment documentation, offer letters, forms, and internal records.
  • Coordinate employment visa, medical, Emirates ID, and related employee processes.
  • Maintain employee files, attendance records, leave records, and HR documentation.
  • Assist with payroll preparation and HR compliance.
  • Maintain strict confidentiality regarding employee and company information.

💼 Finance Administration

  • Prepare invoices, quotations, receipts, and supporting financial documentation.
  • Assist with payroll processing.
  • Process authorised business payments through Wio Business.
  • Maintain accurate expense records and supporting documents.
  • Support bookkeeping and reconciliations using Zoho Books.
  • Follow up on outstanding payments when instructed.
  • Assist management with day-to-day financial administration and reporting.

🤖 AI and Technology

Technology is central to how we operate.

The successful candidate will be expected to:

  • Use Microsoft 365 daily, including Outlook, Word, Excel, PowerPoint, Teams, and OneDrive.
  • Use AI tools such as ChatGPT and Microsoft Copilot to improve productivity.
  • Create templates, checklists, trackers, reports, and automated workflows.
  • Research immigration programme updates using official government and trusted industry sources.
  • Recommend technologies and automations that improve accuracy, efficiency, and client service.
  • Quickly learn and adopt new systems introduced by the company.

✅ Essential Requirements

  • Minimum two years of experience in operations, administration, immigration consultancy, corporate services, HR, finance support, legal services, or a related field.
  • Excellent written and spoken English.
  • Outstanding communication and customer-service skills.
  • Professional telephone, email, and WhatsApp etiquette.
  • Strong organisational and multitasking abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to manage confidential and sensitive information professionally.
  • Ability to work independently, prioritise tasks, and take full ownership.
  • Strong research and problem-solving abilities.
  • Fast learner with a proactive and accountable mindset.
