The Operations & HR Officer is responsible for managing and optimising both operational processes and human resources functions within the firm. This role ensures compliance with industry standards, enhances efficiency, and supports a productive work environment. The individual plays a crucial role in implementing policies, handling HR operations, and overseeing administrative functions to align with the firm’s strategic objectives.
Key Responsibilities
Human Resources:
Manage end-to-end recruitment processes, including job postings, screening calls, and onboarding.
Develop, review, and implement HR policies and procedures in compliance with legal and regulatory standards.
Maintain and update employee records, contracts, and compliance documentation.
Oversee performance management systems, including evaluations and feedback mechanisms.
Coordinate training and professional development initiatives.
Address employee relations matters, providing guidance and conflict resolution.
Ensure adherence to employment laws and industry regulations.
Operations:
Assist in the enhancement of operational processes to improve efficiency and effectiveness.
Manage office administration, including facilities and vendor coordination.
Contribute to manage and oversee business continuity planning.
· Ensure the smooth day-to-day operation of the office by maintaining necessary supplies and tools for efficient workflow.
· Arrange and oversee weekly and monthly office orders, ensuring all essential items are stocked and available.
Qualifications & Competencies
Minimum of 2 years of experience in HR and operations, preferably in financial services.
Strong knowledge of HR best practices, employment laws, and compliance regulations.
Exceptional organisational abilities.
Ability to handle sensitive information with discretion and confidentiality.
Strong communication and interpersonal skills.
Autonomous and proactive mindset, with the ability to take initiative and act independently.
Ability to self-review work and ensure accuracy and completeness.
Tech-savvy, with the ability to leverage technology for efficient HR and operational processes.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS.
