We are seeking a dynamic and tech-savvy Office Manager to support the fast-paced operations of our client's Dubai-based technology business. This role sits at the heart of the organisation, ensuring seamless coordination between people, processes, and workplace systems in an agile, innovation-driven environment.
As a key enabler of operational efficiency, you will help scale a growing tech company by managing office operations, digital workplace tools, vendor ecosystems, and executive support functions. You will play a critical role in creating a high-performance, connected, and collaborative workplace that supports both in-office and hybrid teams, while continuously improving how the business operates through smarter processes and technology-driven solutions.
Key Responsibilities:
Office & Workplace Management
- Oversee the daily operations of the Dubai office, ensuring an efficient, organised, and professional workplace.
- Manage office facilities, maintenance, security, cleaning services, parking, and workplace health and safety.
- Ensure meeting rooms, collaboration spaces, and office equipment are fully operational and maintained.
- Manage office supplies, inventory, and procurement to support business operations.
- Continuously identify opportunities to improve workplace efficiency and employee experience.
Executive & Administrative Support
- Provide administrative support to senior leadership, including complex calendar management where required.
- Coordinate local and international business travel, including flights, accommodation, visas, transportation, and itineraries.
- Organise leadership meetings, board meetings, town halls, and company-wide events.
- Prepare meeting agendas, presentations, minutes, and action trackers.
- Handle confidential documentation and correspondence with the highest level of professionalism and discretion.
Facilities & Vendor Management
- Manage relationships with landlords, building management, and external service providers.
- Source, negotiate, and manage contracts with office suppliers and vendors.
- Monitor vendor performance and ensure agreed service levels are achieved.
- Coordinate office maintenance, repairs, renovations, and workplace improvement initiatives.
Procurement & Budget Management
- Manage office operating budgets and administrative expenditure.
- Process purchase orders, invoices, and supplier payments in collaboration with the Finance team.
- Identify cost-saving opportunities while maintaining service quality.
- Ensure procurement activities comply with company policies.
Employee Experience
- Support onboarding and offboarding processes, including workspace setup, equipment coordination, and office inductions.
- Organise employee engagement initiatives, celebrations, wellbeing activities, and team events.
- Act as the primary point of contact for office-related employee requests and workplace support.
- Foster a welcoming, collaborative, and inclusive office culture.
Operational Excellence
- Develop and maintain office policies, procedures, and operational documentation.
- Drive continuous improvement initiatives that enhance efficiency and productivity.
- Maintain accurate office records, contracts, inventories, and documentation.
- Ensure compliance with company policies, health and safety standards, and local regulations.
Qualifications & Experience
- Bachelor's degree in Business Administration or a related discipline preferred.
- Minimum of 5 years' experience in Office Management, Workplace Experience, Executive Administration, or Business Operations.
- Previous experience within a technology, SaaS, fintech, or multinational organisation is highly desirable.
- Strong experience managing office operations, facilities, procurement, and vendor relationships.
- Experience supporting senior executives is advantageous.
- Excellent organisational and project coordination skills.
- Strong communication and stakeholder management abilities.
- High level of discretion when handling confidential information.
- Proficiency in Microsoft Office 365, Google Workspace, and collaboration platforms such as Microsoft Teams, Slack, or Zoom.
