Job Summary: We are seeking a detail-oriented and proactive Office Assistant to support BIWIN Storage’s administrative functions. The ideal candidate will be a resourceful individual who helps maintain office efficiency by performing a variety of clerical and administrative tasks. This role is essential for providing support to staff and ensuring smooth daily operations.
Key Responsibilities:
Administrative Support:
Handle general office duties including answering phones, greeting visitors, and managing correspondence
Organize and schedule meetings, appointments, and travel arrangements
Document Management:
Prepare, edit, and proofread various documents and presentations
Maintain electronic and physical filing systems for easy retrieval
Office Supplies:
Monitor and maintain office supplies inventory
Research, price, and order supplies as needed
Meeting Coordination:
Set up meeting rooms with necessary equipment
Prepare agendas and take minutes during meetings
Data Entry:
Input and update information in company databases and spreadsheets
Generate regular reports as requested
Mail Management:
Process incoming and outgoing mail and packages
Coordinate with courier services for special deliveries
Basic Accounting Support:
Assist with processing invoices and expense reports
Maintain basic financial records
Calendar Management:
Maintain and update department calendars
Send meeting reminders to relevant team members
Qualifications:
Associate’s degree or equivalent; Bachelor’s degree preferred
1-2 years of experience in an administrative or office support role
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
Excellent organizational skills and attention to detail
Strong written and verbal communication abilities
Ability to prioritize tasks and work under deadlines
Professional demeanor and customer service orientation
Knowledge of office equipment operation and maintenance
