Office Administration Manager
Our client is a well-established international investment management firm based in DIFC, managing institutional and private client investments across global markets. They are seeking an experienced Office Administration Manager to oversee the day-to-day operations of their Dubai office, ensuring the business operates efficiently while maintaining the highest standards of professionalism, governance and client service.
This is a broad operational role requiring someone who can manage office administration, facilities, vendors, corporate services and executive support within a fast-paced, highly regulated financial services environment.
The successful candidate will be proactive, highly organised and accustomed to supporting senior leadership while ensuring seamless office operations.
Key Responsibilities
- Manage the day-to-day administrative operations of the DIFC office.
- Ensure the office operates efficiently, maintaining exceptional standards across all support functions.
- Develop and improve administrative processes, policies and procedures to enhance operational efficiency.
- Lead, mentor and develop the office administration team, allocating responsibilities and monitoring performance.
- Coordinate with senior management to support business priorities and organisational initiatives.
- Manage relationships with landlords, building management, external vendors and service providers.
- Oversee facilities management, office maintenance, security, health & safety and business continuity arrangements.
- Manage office budgets, procurement and supplier contracts, ensuring cost-effective purchasing and expenditure control.
- Coordinate travel arrangements, corporate events, board meetings and client hospitality.
- Support onboarding and offboarding processes in partnership with HR and IT.
- Ensure office operations comply with internal policies and relevant DIFC regulatory requirements.
- Maintain accurate office records, contracts and documentation.
- Drive continuous improvement across office operations while maintaining a first-class working environment.
Requirements
- Proven experience as an Office Administration Manager, Office Manager or Corporate Services Manager within investment management, asset management, private equity, banking, financial services or a professional services environment.
- Previous experience working within a DIFC-regulated business would be highly advantageous.
- Strong understanding of office operations, facilities management, procurement and vendor management.
- Experience managing budgets and administrative expenditure.
- Excellent organisational and project management skills with the ability to manage multiple priorities.
- Strong interpersonal and communication skills with the confidence to engage with senior executives and external stakeholders.
- Highly professional with exceptional attention to detail and discretion when handling confidential information.
- Advanced proficiency in Microsoft Office.
- Bachelor's degree in Business Administration or a related discipline preferred.
