In this role, you’ll be the backbone of our office, ensuring smooth day-to-day operations, coordinating administrative tasks, and providing essential support to our dynamic team. You’ll have the opportunity to work in a collaborative environment, gain international experience, and contribute to exciting projects that illuminate some of the world’s most iconic venues. Applicants must have work authorization and residence in Abu Dhabi, as this role does not include relocation assistance.

How You’ll Make a Difference

Respond to incoming phone calls and determine appropriate routing or follow up

Maintain office supplies, literature, sales tools, and giveaways

Ensure office equipment (such as copiers, printers, plotters, and phone systems) are functioning normally and stocked. Manage related service contracts and relationships.

Maintain calibration and user records for light meters, flicker meter, color meter, range finder, and any other shared equipment

Manage company vehicle records and service history

Manage company iPhone/iPad contracts and keep current

Handle all mail and FedEx requirements for office – including working with Parts/Warranty on shipping requirements

Assist with travel arrangements for Team Members and guests as necessary

Create new projects in Scoreboard database for Musco Gulf

Liaise daily with sales team members at corporate office to provide updates on morning activity

Work with Project Planning to evaluate leads and make initial contact on inquiries to determine viability of leads before handing over to sales team

Assist on selected projects that require planning permission as a local planning specialist

Work with sales team to create pre-sales or pre-production submittals

Work with sales team to create final O&M manuals

Assist Project Manager with incoming container shipments and local haulage

Liaise with corporate HR and Safety departments office to carry out office management and compliance activities

Liaise with corporate IS departments to carry out office IT requirements

Other duties as assigned

Qualification And Skills

B.A. degree in Business, Communications, Marketing, or Engineering is desired

2-5 years related experience

Strong computer skills with programs such as Microsoft Word and Excel, as well as use of sales database

Good problem-solving skills with the ability to present solutions to problems raised

Ability to deal effectively with internal external customers of all levels

Strong communication skills, both verbal and written

Ability to handle multiple projects effectively.

Must be able to work well in a team environment.
