Job Overview:
Emirates Talent Solution is looking for a highly organized and efficient P/A Executive Secretary to support senior management in a leading company within the Property Development & Real Estate Brokerage industry. The ideal candidate will have a strong background in administrative support, exceptional communication skills, and the ability to handle a wide range of tasks with professionalism and discretion.
Key Responsibilities:
Administrative Support:
Provide comprehensive administrative assistance to the executive team, including managing schedules, organizing meetings, and handling correspondence.
Prepare reports, presentations, and documents related to property development and real estate transactions.
Maintain and organize confidential files, records, and office systems.
Communication & Coordination:
Act as the primary point of contact for internal and external stakeholders, managing communication on behalf of senior management.
Coordinate travel arrangements, including booking flights, hotels, and preparing itineraries for business trips.
Ensure smooth communication and coordination between different departments and external partners.
Meeting & Event Management:
Organize and coordinate meetings, conferences, and corporate events, ensuring all logistics are handled efficiently.
Prepare agendas, take minutes during meetings, and follow up on action items.
Ensure that meeting materials and presentations are prepared and distributed in advance.
Confidentiality & Discretion:
Handle sensitive and confidential information with the highest level of discretion.
Manage confidential documentation related to property transactions, client communications, and financial matters.
Office Management:
Oversee office supplies and equipment, ensuring that the office is well-stocked and functioning smoothly.
Assist with the implementation and maintenance of office policies and procedures.
Support the HR department with administrative tasks, including onboarding new employees.
Qualifications:
Bachelor’s degree or equivalent experience in Business Administration, Secretarial Studies, or a related field.
Minimum of 3-5 years of experience as an Executive Secretary, Personal Assistant, or similar role, preferably in the real estate or property development industry.
Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills in English; knowledge of Arabic is a plus.
High level of professionalism, discretion, and attention to detail.
Ability to work independently and as part of a team, with a proactive approach to problem-solving.
